Essential Job Duties
The primary purpose of this position is to provide comprehensive financial and administrative support to the department by managing purchasing activities, processing financial transactions, and ensuring compliance with institutional policies and procedures. This role is responsible for organizing and reconciling purchase card statements, coordinating reimbursements and supplemental pay, assisting with travel arrangements, and supporting procurement processes, including requisitions and contracts. Additionally, the position ensures accurate financial recordkeeping, facilitates vendor payment setup through PaymentWorks, and assists with year-end closeout activities. The incumbent will also support billing communications, journal entries, and general financial reporting to promote efficient and accurate departmental operations.

Minimum Experience/Education
  • At least two years of experience in financial operations, including accounts payable, travel management, and reconciliation.
  • Demonstrated ability to interpret and apply policies, procedures, and guidelines.
  • Experience auditing external invoices and processing reimbursements.

  • Ability to work effectively with minimal supervision.
  • Excellent interpersonal skills with the ability to collaborate with department leadership, faculty, house officers, graduate students, and administrative staff.
  • Ability to maintain confidentiality at all times.
  • Proficiency in Microsoft Office, office technology, and email and calendaring tools.
  • Excellent customer service skills with the ability to adapt to frequent interruptions.
  • Ability to independently exercise judgment and discretion while applying institutional policies and procedures.
  • Self-motivated with the ability to understand complex problems and coordinate appropriate resources to resolve issues.
  • Strong written and verbal communication skills.
  • Ability to understand complex concepts and communicate effectively with individuals at all levels.
  • Courteous and professional demeanor with a strong commitment to customer service.
  • Ability to analyze and resolve problems independently and consistently.
Preferred Years Experience, Skills, Training, Education
  • Experience working in a university or academic setting.
  • General understanding of financial systems, including the ability to generate and interpret basic reports.
  • Knowledge of university policies and procedures.
