What are the responsibilities and job description for the Office Manager position at North Andover School of Dance?
We are looking for an Office Manager to join our administrative team and dance studio family.
The Office Manager is the first point of contact to our customers when they walk in the door, call, or email us. They represent all teachers, staff, and our studio culture. It is imperative for them to be positive and supportive.
As a member of our Office Team you will be the Director of First Impressions. In this role it will be your responsibility to exchange information with our customers about anything and everything they may need. You will be expected to maintain the customer database, record transactions, and ensures good record keeping. There are daily administrative tasks for the office, including but not limited to, entering transactions, process payments, generating invoices, ordering of suppliers, vendor relationships, and inventory management.
Responsibilities
- Give excellent customer service
- Manage customer information and schedules within the studio database
- Manage email communication with customers and vendors
- Answer and return phone calls
- Process payments
- Distribute information to customers as needed (email, phone, in person)
- Making sure the office and lobby are presentable for the next day before leaving
- Execute special projects and the occasional arts and crafts
Requirements
- 5 years’ experience in an administrative or office role
- Have a customer first mentality
- Experience with managing a customer database. (Ours is Jackrabbit and is cloud/web based)
- Have experience processing and recording payments and charges (Accounts Receivable)
- Experience with Microsoft Office (Word, Excel)
- Experience with Google Docs, Sheets, Forms, Drive & Gmail
- Organized and have attention to detail
- Must enjoy being around children and their parents
- A Bachelor’s Degree is preferred
This role is part time and has unconventional hours. We are open Monday through Friday 9:30 AM to 12:00 PM and 3:00 PM to 9:00 PM; Saturday 8:30 AM to 1:00 PM. We are looking for someone to work at least 3 days.
Job Type: Part-time
Pay: $20.00 - $25.00 per hour
Expected hours: 20 – 30 per week
