JOB TITLE: Business Office Secretary
BASE REQUIREMENTS:
- High school graduate
- One year business education or secretarial /bookkeeping experience preferred
- Efficient and accurate typing and calculator skills
- Ability to understand basic accounting principles and reconcile monthly bank statements
- Completion of college credit hours in office, business, or a related field (preferred)
- Successful completion of district background check
- Computer literacy and proficiency with digital platforms such as: Google, Excel, Word, Adobe, PDF, financial software, etc. is essential
- Effective communicator (both orally and in writing)
Self-motivated to work with minimal supervision when necessary - Ability to efficiently operate various office equipment (copiers, scanners, phones,printers, etc.)
- Good interpersonal, communication, and public relation skills Effective time management and organizational skill
REPORTS TO: Business Office Manager
RECEIVES GUIDANCE FROM: Business Office Manager
TERMS OF EMPLOYMENT: Eight hours/day; twelve months
EVALUATION: Evaluated annually in accordance with the provisions of the district’s Personnel Evaluation Policy
JOB GOAL: This position provides support for the office of Business Services as well as other offices as needed. Support activities include, but not limited to: document processing and data input for various district, state, and federal forms.
ESSENTIAL DUTIES:
- Consistent and punctual “on site” attendance at the worksite is an essential job function
- Perform various secretarial functions for the Business Office manager
- Main point of contact for district and Central Office phone issues
- Assist with Central Office mail and deliveries as needed
- Oversee Central Office key inventory and distribution
- Maintain Business Office supplies and paper for district
- Assist in the completion of the annual district financial audit
- Reconcile daily district lunch fund dollars
- Assist payroll with data entry and new hire verification
- Assist payroll with Time Management System (TMS) procedures
- Provide accurate data entry for records and documentation for state and federal programs
- Assist as backup for Central Office receptionist by answering phone calls and covering of breaks
- Follow established protocols for incoming calls and public communication
- Maintain an orderly and professional work area
- Maintain a safe, secure, and healthy work environment by following and supporting district protocols and procedures
- Maintain strict confidentiality of sensitive information in accordance with HIPAA regulations
- Willingness to work flexible hours and periodically provide department assistance during designated time periods throughout the school year
- Other duties as assigned
