Inclusion Connections is a nonprofit organization dedicated to supporting individuals with intellectual and developmental disabilities (IDD) through workforce development, transportation, skills and social programming, health initiatives and supportive living. Our work spans multiple areas, including operating a social enterprise called PawsAbilities where students gain valuable skills through product development and sales, group and individual volunteer engagement, building supportive living apartments, comprehensive health initiatives, all creating a fast-paced and highly collaborative environment.

The Operations Specialist plays a key role in supporting the day-to-day execution of this work by ensuring that systems, projects, and logistics run smoothly across the organization. This position serves as a central point of coordination—managing operational tasks, tracking progress, following up with team members, and supporting implementation across multiple areas.

On a typical day, this role may involve coordinating IT requests or onboarding needs, tracking production goals and following up with team members to ensure deadlines are met, assisting with inventory or system organization, supporting volunteer tours or onboarding logistics, and jumping into one-time operational projects as they arise. This role requires someone who is highly organized, adaptable, and comfortable managing a variety of responsibilities at once. This is a critical part of keeping the organization running efficiently and ensuring that projects, people, and processes stay aligned.

Responsibilities

  • Operations Projects & Systems Coordination
  • Support and coordinate projects across the organization (e.g., IT improvements, system rollouts, infrastructure updates)
  • Serve as internal point of coordination for IT-related needs, including submitting and tracking help desk tickets and assisting with implementation of system changes
  • Manage and maintain organizational systems such as key inventory, technology inventory, and equipment tracking, etc.
  • Support major system initiatives, including Google Drive to SharePoint migration and ongoing file organization
  • Assist in identifying operational gaps and supporting implementation of process improvements
  • Coordinate new employee onboarding logistics, including setting up technology, devices, system access, and software licenses; ensure new hires are equipped and ready on their first day
  • Production & Inventory Oversight
  • Oversee product production goals
  • Track progress and follow up with team members to ensure tasks are completed on time
  • Assist in coordinating custom orders, ensuring deadlines are communicated and met
  • Support inventory tracking and product movement, including Shopify updates and transfers as needed
  • Help identify and escalate production delays or workflow issues
  • Volunteer Program Support
  • Facilitate group tours when the Volunteer Coordinator is unavailable
  • Conduct individual volunteer intake conversations to understand interests and support appropriate placement
  • Assist with volunteer scheduling and coordination in collaboration with the Volunteer Coordinator
  • Support overall volunteer onboarding experience and logistics to ensure a positive and organized process
  • Student Development Coordination
  • Support scheduling of weekend outings, classes, or special events as assigned
  • Send communication to participants and families, including reminders, updates, and logistical information
  • Provide general coordination support for Student Development initiatives as directed by leadership
  • Special Projects & Organizational Support
  • Support one-time or emerging operational projects across the organization (e.g., building-wide inventory systems, phone system migrations, infrastructure updates)
  • Conduct basic research, gather information, and assist with implementation of new processes or tools
  • Provide cross-department support to ensure projects move forward efficiently
  • Adapt to evolving organizational needs and take on additional coordination tasks as assigned

Qualifications

  • 3–5 years of experience in operations, coordination, or administrative roles
  • Strong organizational skills and ability to manage multiple projects and priorities simultaneously
  • Exceptional follow-through and attention to detail
  • Strong communication skills and ability to work across teams
  • Demonstrated ability to work independently and take initiative
  • Strong technology skills and comfort learning new systems quickly (Microsoft 365, SharePoint, databases, tracking systems)
  • Experience or interest in using AI tools and automation to improve efficiency and streamline workflows preferred
