Job Summary
We are seeking a highly organized and professional Office Administrative Assistant to support our daily operations. The ideal candidate will possess strong clerical and office management skills, with experience in customer service, data entry, and office software. This role requires excellent communication, multitasking abilities, and proficiency in various administrative tasks to ensure smooth office functioning and exceptional support to staff and clients.
Duties
- Manage calendars and coordinate appointments.
- Answer and route phone calls and emails promptly and professionally.
- Follow up with leads and assist in sales calls and client onboarding.
- Format and send our weekly client newsletter.
- Draft and schedule social media posts across platforms.
- Assist with light video editing for firm updates and podcast clips.
- Set up and maintain accuracy in our CRM and document management systems.
- Support workflow and task management systems (TaxDome).
- Assist with project tracking and data management to ensure deadlines are met.
- Organize digital files and update templates and internal resources.
- Support event or training logistics as needed.
- Provide general administrative support to the owner and team.
Experience
- Previous office experience or clerical experience preferred; experience as a receptionist or personal assistant is a plus
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent typing speed and accuracy along with good proofreading skills
- Demonstrated ability to provide exceptional customer service and support in a professional setting
- Knowledge of bookkeeping or tax practices is beneficial

We are a values based firm, focusing on strategic tax planning, tax preparation, and bookkeeping. Although many of our clients are remote, this position requires an in-office hire in our downtown Guthrie office.
Pay: $21.54 - $25.94 per hour
Expected hours: 15.0 – 20.0 per week
