Position Overview

We are seeking a reliable, detail-oriented, and proactive Operations Coordinator to support critical administrative, medical records, and communication workflows at our growing location in Kalamazoo, MI.

This full-time, on-site role is perfect for an administrative professional with a solid background in a medical office, clinic, or healthcare environment. You will serve as a central operational anchor—managing essential client communications, ensuring clinical data accuracy, and collaborating with internal teams to make sure our clients and care teams are supported completely.

 

Job Location & Structure

  • Location: Kalamazoo, MI 49009 (On-Site)

  • Job Type: Full-time, Monday – Friday

  • Work Environment: Collaborative, respectful, professional office environment focused on healthcare operations.

Key Responsibilities

  • Communication Management: Answer and manage high-volume incoming phone calls; efficiently screen, route, and escalate communications to internal case managers and external parties.

  • Administrative Operations: Provide direct, comprehensive administrative support across multiple operational functions and handle daily incoming correspondence.

  • Data & EMR Integrity: Maintain a high standard of data accuracy and documentation completion across internal case management databases and healthcare tracking systems.

  • Medical Records Support: Process, track, and fulfill specialized medical records and client documentation requests under strict confidentiality parameters.

  • Financial Coordination: Assist with basic operational billing tasks, client invoices, and accounts receivable follow-up.

  • Team Collaboration: Work cross-functionally with marketing, internal case management, and administrative leadership to ensure seamless service delivery.

Required Qualifications

  • Experience: 2–4 years of progressive administrative, office coordinator, or operations support experience.

  • Healthcare Background: Prior experience working within a medical office, clinic, healthcare facility, or case management environment is required.

  • Communication Skills: Excellent verbal and written communication skills with a high comfort level handling frequent, professional phone-based inquiries.

  • Technical Savvy: High proficiency in Microsoft Office Suite (Word, Excel, Outlook). Experience navigating electronic health records (EHR/EMR) or dedicated case management software is a major plus.

  • Operational Strengths: Exceptionally strong organizational skills, fierce attention to detail, and the proven ability to multitask and manage competing priorities independently.
