Position Summary
NikoHealth is seeking a highly organized, dependable, and detail-oriented Administrative Assistant to provide administrative and operational support to internal teams. The successful candidate will assist with scheduling, documentation, data management, communication, recordkeeping, and day-to-day administrative activities while maintaining professionalism, accuracy, and confidentiality.
The ideal candidate is proactive, organized, comfortable working with technology, and able to manage multiple priorities in a fast-paced healthcare technology environment.
Key Responsibilities
- Provide day-to-day administrative support to managers, departments, and team members.
- Manage calendars, meetings, appointments, and scheduling activities.
- Prepare, format, organize, and maintain documents, reports, spreadsheets, and presentations.
- Handle routine email correspondence and internal communications professionally.
- Enter, update, and maintain information in company databases and business systems.
- Organize electronic files, records, and documentation for easy retrieval.
- Assist with preparing reports, tracking information, and maintaining administrative records.
- Coordinate meetings, distribute agendas or materials, and document action items when required.
- Monitor administrative requests and ensure tasks are completed within established deadlines.
- Assist with onboarding documentation and other employee-related administrative activities as assigned.
- Communicate with internal departments and external contacts to obtain information and coordinate routine activities.
- Support purchasing, invoicing, expense documentation, and other administrative processes when required.
- Maintain confidentiality of company, employee, customer, and business information.
- Identify administrative issues and communicate them to the appropriate supervisor or department.
- Assist with special projects and other administrative duties as assigned.
Qualifications
- High school diploma or equivalent required; associate or bachelor's degree preferred.
- Previous administrative assistant, office administration, customer service, or related experience preferred.
- Strong organizational and time-management skills.
- Excellent written and verbal communication abilities.
- Proficiency with Microsoft Office, Google Workspace, spreadsheets, email, and calendar applications.
- Strong attention to detail and accuracy.
- Ability to manage multiple tasks and competing priorities effectively.
- Professional, dependable, and service-oriented attitude.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Comfortable learning new software, databases, and technology platforms.
- Ability to work independently while collaborating effectively with remote teams.
Preferred Experience
- Experience working in healthcare, healthcare technology, SaaS, or a technology-driven organization.
- Familiarity with CRM, ERP, document-management, or project-management systems.
- Experience preparing reports, maintaining records, and coordinating administrative workflows.
- Previous experience supporting multiple departments or senior-level personnel.
