What are the responsibilities and job description for the Office Coordinator position at Nicollet County?
Under general supervision of the Sheriff’s Office leadership, this position supports the Nicollet County Sheriff’s Office by providing quality services that promote and protect the safety, security, and well-being of all the people in the community. This position provides administrative support to the Sheriff’s Office. This position accepts requests for service of process, receiving requests for collections and services, coordinates service of process and collections, monitors services, and maintains the Sheriff's Office accounts fee and trust. This position also communicates appropriately and provides information to a community of consumers including internal and external partners and the public.
- Accepts civil process requests for service and collections. Ensures proper jurisdiction and accuracy of documents and information. Enters case information into the Civil Process program. Drafts documents for various areas of civil process
- Collects training information and certificates. Enters the trainings, locations, and expenses, and assigns them to the appropriate employee(s) and downloads their certificate(s) into the training database. Completes annual report for submission to POST Board for reimbursement
- Maintains confidential department and employee files. Takes Sheriff’s Office photos for employee IDs
- Maintains office supply inventory, and researches and purchases other supplies as requested or needed. Processes, receives, sorts, and distributes a variety of correspondence, deliveries and mail
- Monitors collections and service attempts for timeliness and prepares appropriate Certificates of Service/Non-Service and e-files the returns with the court system. Creates invoices and receipts money received for civil process services, wage and bank levies to proper accounts
- Oversees and monitors budget revenues and expenses and special funds within the Sheriff's Office. Compiles and provides budgetary and financial information. Assists with tracking and preparing the Sheriff’s Office budget. Prepares receipts for monies received from paper service billings, wage levy, bank levy and wage assignments to proper accounts
- Performs independent legal work, including reviewing legal documents received from attorneys, drafting legal documents, correspondence and statements
- Tracks all contracts for the Sheriff's Office and maintains the schedule for renewals
- Valid MN Driver’s License, and
- Two (2) years of formal training in tech or associate's degree, and
- One (1) year of administrative support experience, OR
- Any equivalent combination of education and experience to successfully perform the essential duties of the job
Salary : $58,032 - $80,829
