Client Coordinator

Job Overview:

Nicolet Law is looking for a Client Coordinator to join our personal injury team. This person would be responsible for converting qualified injury leads into retained clients through fast response, strong communication, sound case judgment, and a high-quality intake process. This role serves as one of the first and most important points of contact for prospective clients and plays a critical role in driving firm growth while protecting case quality and client experience.

The ideal candidate can build trust quickly, assess case viability, guide prospective clients through the signing process, handle objections professionally, and ensure a clean, accurate handoff to the legal team. This is not simply a sales role. It is a high-accountability position requiring urgency, judgment, empathy, detail discipline, and integrity.

Responsibilities:

• Respond rapidly to inbound personal injury leads and prospective clients
• Conduct structured consultations to gather key facts, assess case fit, and explain the firm’s process
• Convert qualified prospects into signed clients while maintaining professionalism and trust
• Evaluate potential cases for liability, damages, treatment status, insurance issues, and other qualification criteria
• Identify red flags and escalate questionable or high-risk matters appropriately
• Clearly explain contingency fee agreements, next steps, and client expectations in plain language
• Handle objections and hesitation with confidence, empathy, and professionalism
• Ensure all required documentation, signatures, and intake materials are completed accurately
• Enter complete, timely, and accurate information into CRM and case management systems
• Maintain detailed notes and provide a clean handoff to pre-litigation or legal teams
• Follow established scripts, workflows, compliance standards, and intake protocols
• Maintain high responsiveness, follow-up discipline, and urgency on every viable opportunity
• Collaborate with intake leadership, attorneys, and operations teams to improve close rates and case quality
• Support a client-first culture by ensuring every prospective client receives a professional and caring experience, regardless of whether the case is signed

Qualifications:

• 2 years of experience in intake, client conversion, retention, sales, call center, or a similar high-volume client-facing role (preferred)
• Strong verbal communication and relationship-building skills
• Proven ability to handle sensitive conversations with empathy and control
• Ability to assess situations, ask strong follow-up questions, and exercise sound judgment
• Strong organizational skills and attention to detail
• Ability to work in a fast-paced, metrics-driven environment
• Experience using CRM, intake, or case management systems
• High level of professionalism, accountability, and integrity
• Ability to manage multiple leads, tasks, and follow-ups at once without losing quality

Preferred Qualifications:

• Prior experience in a personal injury law firm
• Experience in legal intake, case signing, or contingency-fee client retention
• Familiarity with PI case types, including auto accidents, trucking, motorcycle, slip and fall, dog bite, wrongful death, and related matters
• Understanding of basic case qualification concepts such as liability, damages, treatment, insurance, and comparative fault
• Experience in a high-volume call environment with conversion goals and quality standards
• Bilingual capabilities, depending on market needs

• 8-hour shift
• Day shift (8 am – 5 pm CST)
• Monday to Friday
