What are the responsibilities and job description for the Fleet Services Coordinator position at NFI Industries?
The Fleet Services Coordinator serves as administrative and technical support for the Fuel and Toll departments. The position will be the principal contact for NFI Tolls, and will handle all general phone and email communications for all levels of internal and external customers. Additionally, they will receive cross-training to assist and support the fuel operations as needed. This position reports to the Manager of Fuel & Tolls.
Responsibilities:- Maintains all transponder records with high degree of accuracy.
- Work directly within the BestPass toll account system, proactively addressing toll-related errors and expenses.
- Manage the toll violation process, including paper and email notifications, and maintain a detailed violation tracking system.
- Conduct violation research, including disputes and reconciliations.
- Work with trouble accounts to audit transponder to truck accuracy.
- Monitor serialized parts update emails for Toll transponder changes.
- Process monthly invoicing and accruals for toll expenses.
- Assist on projects and other administrative duties as needed for both Tolls and Fuel.
Assists the Fuel Coordinator with daily fuel related needs:
- Efficiently manage fuel card maintenance across multiple operating systems and entities with accuracy and timeliness.
- Handle phone inquiries on fuel and toll matters, providing timely assistance and resolution.
- Support ordering bulk fuel as well as support for maintenance, certifications, and related requirements.
- High School Diploma or equivalent
- At least 3 years of clerical or administrative experience
- Excellent written and oral communication skills
- Strong customer service skills, including handling questions, concerns and adverse situations, with speed and professionalism
- Strong research, problem-solving, and detail-oriented data entry skills.
- Proficient in Windows, Microsoft Office Applications and Google Suite.
Recommended but not required:
- Toll Account experience (including BestPass Toll Management)
- Logistics/Fleet industry knowledge
We are excited to share the base hourly rate for this position is $20.25 - $31.00/HOUR. NFI takes into consideration applicants' qualifications, experience, education, geographic location, when determining a starting rate of pay.

Responsibilities:
- Processing of local licensing and renewals for locally plated cars, trucks and required equipment
- Setup and renewal of various operating authorities such as Liquor, Intrastate and Carrier Permits for various states.
Data entry for registration and Permit related record keeping - Receive, check for accuracy, prepare and submit Tractor, Trailer, and Yard Truck invoices for payment
- Maintains detail of unit deliveries with extreme accuracy
- Track and obtain missing invoices or MSOs with appropriate vendor
- Tracks and processes daily unit adds to the IRP as needed for tractors and trailers
- Monitors replacement requests for permits and license plates for errors as well as updating applicable systems with the new information as requests are processed
- Works with internal safety department and our environmental consultant for any compliance issues
- Works with internal Procurement team on the purchases of new units as needed
- Assists on projects and other administrative duties as needed
