Nexus is an executive search firm founded in London in 2020. We've grown significantly in the UK, and in 2024 we took our biggest step yet — opening our Austin office. In less than two years, we've built a strong team, established a real presence, and set out a clear roadmap for what comes next. Austin is a big part of our future, we have very ambitious plans and we're growing it with purpose.
We are looking for an EA & Office Manager to be the operational heartbeat of our Austin office. This is a broad, varied, and genuinely exciting role — one that combines the day-to-day running of a fast-paced office with direct personal support to our Founder and senior leadership, coordination of high-profile events and incentive trips, and ownership of a significant upcoming moment: the setup and launch of our brand-new Austin office space.
This is a great opportunity for someone early in their career who is highly organised, naturally proactive, and energised by variety. The role reports directly to the Founder in Austin and the Head of Operations in London, and will grow with the business and with you.
What you'll be responsible for
- Office Operations & Workspace — owning the day-to-day running of the Austin office and leading our upcoming office move end-to-end, from timeline and logistics through to setup of the new space.
- Founder & Executive Support — diary management, complex travel arrangements, briefings, and acting as a trusted point of contact for the Founder.
- Events & Incentive Trips — coordinating logistics for Nexus incentive trips including Mykonos, St. Tropez, Ibiza, Tulum, and St. Anton, as well as team events and client visits.
- Onboarding & New Starters — owning the full onboarding journey for new Austin hires from offer acceptance through to their first day.
- IT & Systems — first point of contact for day-to-day IT queries, equipment setup, and system access management.
What we're looking for
- 0–2 years' experience in an office, operations, PA, or administrative role.
- Highly organised with strong attention to detail. Confident communicator comfortable dealing with senior stakeholders.
- Proactive and self-directed — you make things happen without being asked.
- Positive, energetic, and a natural fit for a fast-paced, ambitious environment.
- Discreet and trustworthy with sensitive information.
