Description
The Receptionist serves as the first point of contact for all incoming calls and office visitors. This role operates a standard 6-line phone system and provides general administrative support, helping maintain office efficiency and organization.
Essential Duties & Responsibilities

Answer, screen, route, and take messages for a high-volume multi-line phone system. Handle confidential information with discretion; draft memos, letters, and emails.

Perform general office tasks including filing, scanning, photocopying, and distributing incoming/outgoing mail.

Provide support to various departments as needed.

Manage incoming and outgoing mail through U.S. Mail, FedEx, etc., maintain postage meter and supplies, track office supplies, and assist with scheduling meetings and luncheons.

Create and maintain computerized databases for items such as client or project lists as needed.

Reconcile landfill statements and credit card receipts.

Assist the Controller and CFO with miscellaneous administrative tasks.
Qualifications
Required Education & Experience

High School Diploma or GED equivalent required.

Minimum of 1 year of administrative or front desk experience in a fast-paced environment.

Friendly, courteous, and professional demeanor when interacting with customers and coworkers.

Strong communication, organizational, and problem-solving skills.

Ability to sit for extended periods and operate standard office equipment (computer, calculator, copier, fax, etc.).

Detail-oriented with the ability to multi-task effectively.

Proficiency in Microsoft Office, especially Excel and Word.

Must be fluent in both Spanish and English.
