Position Summary
We are seeking a Client Service Associate to serve as the face of our office and a key driver of the client experience. This role is critical in ensuring our clients feel cared for, informed, and supported at every interaction.
You’ll work closely with advisors to coordinate meetings, manage client requests, support onboarding, and keep operations running smoothly. The ideal candidate is proactive, highly organized, and takes pride in delivering a “white-glove” experience.
Key Responsibilities
Current Client Support
· Act as the first point of contact for client inquiries, providing exceptional service via phone, email, and in-person interactions.
· Greeting clients
· Proactively reach out to clients with check-ins and updates.
· Schedule and confirm client meetings, maintaining advisor calendars.
· Oversee alerts and cash management tasks with custodians (Raymond James and Schwab)
New Client Support
· Facilitate client onboarding.
· Set up initial steps for financial plans.
· Manage and track rollover processes.
Administrative and Operational Support:
· Manage the firm’s multi-step firm projects.
· Handle account paperwork, including new account setups, transfers, and updates.
· Process client transactions, such as contributions, withdrawals, and account maintenance.
· Develop and implement workflow processes to improve efficiency across the firm.
On a typical Day:
You’ll greet clients walking into the office, coordinate meetings for advisors, help onboard new households, and keep everything running smoothly behind the scenes…
Qualifications
· Prior experience in a wealth management firm or professional services industry preferred.
· Strong organizational and time-management skills.
· Proven ability to build and maintain successful relationships.
· Exceptional attention to detail with the ability to manage multiple tasks.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with tools like Raymond James, Schwab Advisor Center, and CRM platforms is a plus.
