What are the responsibilities and job description for the Executive Assistant to the CEO position at NexGen Landscaping?
NexGen is growing across the Valley, and we’re hiring an Executive Assistant to help handle the administrative tasks for our CEO. You’ll manage his schedule, meetings, communication, and follow-ups, and help build the documents and systems our team runs on.
About NexGen Landscaping
NexGen Landscaping is a commercial landscaping company headquartered in Phoenix, Arizona. We maintain, build, and improve landscapes for corporate campuses, retail centers, commercial properties, and HOA communities. Our services cover maintenance, irrigation, tree care, and landscape construction. Our mission is to elevate the industry with clear communication, reliable crews, and technology that makes us easier to work with than the competition.
About the Role
Twelve months in, success looks like this: the CEO’s schedule and meetings run smoothly, action items get closed without reminders, every week starts with a clear picture of what matters most, and the team has clear templates, SOPs, and trackers to work from.
What You’ll Do
- Manage the CEO’s calendar and meetings. Schedule appointments, prepare agendas and materials, take notes, and send recaps.
- Track priorities and follow-ups. Keep the CEO’s task list and project tracker current, and follow up on open items across the team until they’re closed.
- Prepare a weekly CEO brief. Summarize priorities, upcoming deadlines, and key numbers, and research topics as needed.
- Draft correspondence and presentations. Write emails, letters, announcements, and slide decks on the CEO’s behalf.
- Build documents and systems for the team. Work with the CEO to create the templates, checklists, trackers, and playbooks our account managers use for client check-ins, renewals, and follow-ups.
- Write and maintain SOPs. Turn how we work into clear, step-by-step processes, and keep company files organized in Google Drive.
- Support the account management team. Help prepare client-facing materials like renewal packets, presentations, and thank-you programs.
- Coordinate events. Plan client lunches, company events, and leadership meetings.
- Handle travel and personal logistics. Book travel, manage appointments, and run occasional errands for the CEO.
- Protect confidential information. You’ll handle financials, contracts, and client details with discretion.
Required
- 2 years as an executive assistant, administrative assistant, or office coordinator supporting a business owner or senior leader
- Experience managing calendars, travel, and meetings in Google Workspace or Microsoft 365
- Experience drafting professional emails, letters, and presentations
- Experience building templates, trackers, or SOPs in Docs/Word, Sheets/Excel, or similar tools
- Able to work full-time on site at our Phoenix office
- Valid driver’s license and reliable transportation
Preferred
- Experience in landscaping, construction, property management, or another field-service business
- Experience with a CRM (HubSpot, Salesforce, or similar) or field-service software (LMN, Aspire, Jobber)
- Experience planning client or company events
- Experience using AI tools (ChatGPT, Claude, etc.) to draft and organize work
- Bilingual in English and Spanish
What Makes This Role Hard
This job moves fast and changes daily. You’ll juggle the CEO’s priorities, team requests, and ongoing projects at the same time, and you’ll be expected to make judgment calls without waiting to be told. If you like building your own structure and owning the result, you’ll do well here.
Compensation
- $25–$35 per hour, DOE (depending on experience)
- Full-time, on site in Phoenix, AZ
