Front Desk Assistant (Public Housing Agency)

We are seeking an energetic, detail-oriented Front Desk Assistant to serve as the welcoming face of our organization. In this role, you will manage front desk operations, provide excellent customer service, and support daily administrative functions.

Key ResponsibilitiesFront Desk & Customer Service
- Greet visitors, residents, applicants, and vendors in a professional and welcoming manner
- Answer and route incoming calls; provide accurate information and take detailed messages
- Assist residents and applicants with completing forms and housing applications
- Provide information regarding application procedures, waiting lists, and program qualifications
- Maintain a clean, organized, and professional reception area
Administrative & Clerical Support
- Perform data entry and maintain accurate records and logs
- Prepare, copy, and distribute notices, letters, and resident communications
- File, scan, and maintain resident and landlord documentation
- Process incoming/outgoing mail and manage office supply inventory
- Assist with general clerical duties such as proofreading and document preparation
Program Support
- Enter housing applications and assist with intake appointments
- Support Housing Choice Voucher (HCV) and Public Housing programs with scheduling and documentation
- Assist with re-examinations, verifications, and recertification packets (as applicable)
Financial & Office Operations
- Collect and process rent payments; maintain an accurate cash drawer
- Monitor visitor flow and wait times, escalating concerns as needed
- Report equipment or facility issues (phones, copiers, etc.)
- Assist with meetings, compliance tasks, and special projects
Qualifications
- High school diploma or equivalent required
- Previous administrative, clerical, or customer service experience preferred
- Experience in property management or housing programs is a plus
Skills & Competencies
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Strong computer and data entry skills with high accuracy
- Excellent organizational skills and attention to detail
- Professional phone etiquette; experience with multi-line systems preferred
- Ability to multitask and prioritize in a fast-paced environment
- Strong communication and customer service skills
- Bilingual (Spanish/English) is highly preferred
- Knowledge of QuickBooks or basic bookkeeping is a plus
