Position Overview
Newport Classical (NC), a premier performing arts organization celebrating classical music, is seeking an Artist Experience & Production Coordinator to support our year-round programming, including the Chamber Series, Community Concerts, Special Events, and our iconic Summer Music Festival held each July. This full-time, salaried position combines two key areas of responsibility: managing artist experience and hospitality, and coordinating production logistics to ensure seamless concert and event operations.
This role requires strong administrative skills, exceptional coordination and communication across departments, and the ability to manage multiple priorities in a fast-paced environment. The Coordinator will also play a leadership role in staff hiring, scheduling, and safety training, particularly related to the seasonal Production Crew.
Key Roles and Responsibilities
1. Artist Experience & Hospitality
- Serve as the primary point of contact for visiting artists, supporting their experience from arrival to departure.
- Communicate directly with artist management to prepare accurate artist itineraries and schedules.
- Coordinate all logistical aspects of artist visits, including hotel reservations, ground transportation, and hospitality arrangements.
- Manage artist housing during the Festival, including liaison with apartment landlords.
- Schedule and coordinate ground transportation using Newport Classical vehicles as needed.
- Prepare and maintain green rooms and rehearsal spaces, ensuring all hospitality items are stocked per contract requirements.
- Order, pick up, and coordinate meals and refreshments for artists.
- Support artist merchandise sales during concerts when applicable.
- Prepare daily rundowns during the Festival detailing the full internal itinerary for each day’s events.
- Proactively communicate with artists, artist managers, internal staff, vendors, and venue partners to ensure smooth operations and clear expectations.
2. Production Coordinator (Year-Round Programming)
- Manage concert day logistics at Newport Classical Recital Hall, including cleaning, maintaining and straightening patron seating, and stage setup, ensuring all technical requirements outlined in the artist’s rider and stage plot are fulfilled prior to artist arrival.
- Oversee stage equipment and the acquisition of instruments as needed for performances.
- Secure production vehicle rentals as required.
- Assist with scheduling vendors for events.
- Collaborate with off-site venue staff, vendors, and partners to coordinate logistics for Community Concerts, Holiday events, and other special events.
- Spearhead the development and implementation of a safety training program for all staff, with a focus on production crew safety protocols.
3. Production Coordinator (Festival)
- Assist with interviewing and selecting seasonal Production Crew candidates.
- Develop and manage detailed work schedules for the Production Crew across multiple Festival venues.
- Track and approve Production Crew work hours for payroll and reporting purposes.
- Serve as primary contact with production vendors and venue representatives to coordinate timelines, load-in/load-out logistics, and site access during the Festival season.
Location & Time Commitment
- Position is based at the Newport Classical offices in Newport, Rhode Island.
- Full-time, Monday – Friday.
- Evening and weekend work is required to support concert events. Must be available for all annual Chamber Series concerts (Select Friday evenings Sep - Jun), Community Concerts (one weekend afternoon, five times per year), and Music Festival concerts held every day for 3 weeks in July.
Compensation Package
This is a full-time, year-round, salaried exempt position. The annual starting salary for this position is $47,500 with a competitive benefits package including medical, dental, life insurance, 401k matching, robust Paid Time Off including vacation, sick, holiday and comp time, and a flexible workplace schedule.
