  • Prepare daily rundowns during the Festival detailing the full internal itinerary for each day’s events.
  • Proactively communicate with artists, artist managers, internal staff, vendors, and venue partners to ensure smooth operations and clear expectations.

2. Production Coordinator (Year-Round Programming)

  • Manage concert day logistics at Newport Classical Recital Hall, including cleaning, maintaining and straightening patron seating, and stage setup, ensuring all technical requirements outlined in the artist’s rider and stage plot are fulfilled prior to artist arrival.
  • Oversee stage equipment and the acquisition of instruments as needed for performances.
  • Secure production vehicle rentals as required.
  • Assist with scheduling vendors for events.
  • Collaborate with off-site venue staff, vendors, and partners to coordinate logistics for Community Concerts, Holiday events, and other special events.
  • Spearhead the development and implementation of a safety training program for all staff, with a focus on production crew safety protocols.

  • Assist with interviewing and selecting seasonal Production Crew candidates.
  • Develop and manage detailed work schedules for the Production Crew across multiple Festival venues.
  • Track and approve Production Crew work hours for payroll and reporting purposes.
