Description

The Newaygo County Drain Commissioner is seeking a professional to fill the Drain Secretary position. The selected candidate serves as the primary receptionist for the Drain Commissioner’s Office and performs a variety of clerical and administrative support duties. The ideal candidate possesses a strong capacity to learn, great communication skills, organizational focus, and computer skills are a must.

Examples of Duties

  • Serves as the primary point of contact for the daily needs of the Drain Office. As such, answers customer requests in-person and by telephone and provides information related to the functions, processes and requirements of the Drain Office to customers, zoning officials, township supervisors and contractors. Directs calls or individuals to other units of government as appropriate. Sorts mail, makes copies, prepares general correspondence including letters, notices, vouchers, permits, reports, and standardized documents. Files correspondence, invoices, maps, permits, records and reports and other materials.
  • Assists customers with permit applications, collects fees, issues receipts and prepares soil erosion permits using various computer programs. Enters information in databases, creates related files, prepares permit cards and distributes information and notices to property owners, contractors and zoning administrators. Resolves minor conflicts and other issues pertaining to soil erosion permits.
  • Reviews files to determine permit status and initiates enforcement action as appropriate. Prepares violation notices and organizes file in preparation of prosecutorial action and reports violations to the Department of Environmental Quality if necessary.
  • Assist in the preparation of assessment rolls, the annual report, and drainage district mailings.
  • Maintains logbook of maintenance and inspection activities, drain crossings and related information and updates copies regularly.
  • Assists with general accounting activities. Prepares vouchers and enter bills for payment, compiles information to assist in balancing activities and backs-up payroll function. Maintains cash drawer and makes bank deposits.
  • Performs other functions and responsibilities as directed by the Drain Commissioner or Deputy Drain Commissioner.

Typical Qualifications

Education: High school graduation or equivalent with post-secondary education in business, information processing or related areas is required.
Experience: Two to three years of office experience which provided a working knowledge of computer operations and spreadsheet applications. Knowledge of state soil erosion laws and building codes are preferred. Training is available.
