The Research Foundation for Mental Hygiene is seeking a qualified candidate to fill a full-time Program Manager position in the Columbia University Department of Psychiatry. The Program Manager plays a pivotal role in collaboration with Directors of the Program for Mood, Stress, Anxiety and Suicide (PMASS) and the Program for Cognition and Psychosis (CogPsy). These programs are designed to enhance collaboration among ~300 Psychiatry faculty and staff in clinical and research services within a complex, multi-institutional environment spanning Columbia University, New York Presbyterian Hospital and the New York State Psychiatric Institute. The Program Manager provides shared administrative, operational, and managerial support to these two academic programs (PMASS and CogPsy), with 50% effort dedicated to supporting each program.

Duties and Responsibilities:

Program Management:

  • Collaborate with Program Directors to develop and implement oversight plans for clinical- research programming to engage PMASS and CogPsy faculty. This would include developing and implementing strategies to build and roll out seminars, workshops, pilot grants, mentored career development activities, collaborative projects and community-building efforts. 
  • Organize seminars, speaker series, workshops, symposia, and related events, including speaker outreach, scheduling, room reservations, virtual platforms, publicity, and day-of logistics.
  • Collect, compile, and analyze data related to program activities (e.g. program-wide surveys), and prepare reports and presentations to communicate findings like faculty engagement, timelines, milestones, and resource allocation to update the leadership team.
  • Support interactions between Program Directors and program faculty to catalog existing activities and potential research opportunities.
  • Support content curation and development by organizing shared resources, drafting announcements, and maintaining accessible repositories of program-relevant materials.
  • Identify and evaluate motivators and barriers to faculty participation in Programs.
  • Help design metrics for program success and strategies for measuring outcomes. 
  • Serve as a resource and point of contact for the leadership team in seeking guidance on project management-related matters, offering expertise and solutions to support their efforts.
  • Facilitate regular meetings with clinical and research teams to review project status, address challenges, and identify opportunities for improvement
  • Prepare and deliver presentations, reports, and updates on clinical and research activities to the leadership team, highlighting key achievements, challenges, and strategic priorities to support the intersection of clinical-research areas.
  • Engage with senior leadership to address concerns, solicit feedback, and align research activities with organizational goals and objectives.

Administrative Management:

  • Oversee the administrative aspects of program development and program activities, including scheduling and coordinating meetings, preparing agendas, and documenting minutes.
  • Draft emails, memos, and other correspondence on behalf of the Program Directors related to research activities, ensuring clarity, accuracy, and professionalism in communication and monitoring incoming communications.
  • Assist in the preparation of presentations, reports, and other materials for meetings, conferences, and other events related to the program's initiatives to enhance clinical-research collaboration, education and translational work to advance mental health.
  • Coordinate communication between the Program Directors and internal/external stakeholders, all the while gathering information as needed.
  • Maintain accurate and up-to-date databases of program projects, protocols, and related documentation, ensuring accessibility and confidentiality as appropriate.
  • Fulfill any additional duties and responsibilities as assigned or requested by the Program Directors.

Minimum Qualifications:

  • At least (3) years' previous experience in project management; or bachelor's degree
  • At least (2) years of experience managing at least (4) concurrent projects, balancing competing priorities and ensuring all deadlines are met

Preferred Qualifications:

  • Master's degree or equivalent combination of education and experience preferred.
  • Excellent organizational, administrative, and project-management skills.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities independently and collaboratively.
  • Experience in academic medicine, higher education or other complex administrative systems.
  • Experience coordinating complex academic, clinical, research, or educational activities. Experience with basic survey design and analysis.
  • Interest in and ability to engage with program content and themes.
  • Skills in Microsoft Office (Excel, Outlook, Word), Redcap, Qualtrics.
