What are the responsibilities and job description for the Dental Front Desk & Billing Coordinator position at New York Dental Implants?
Part-time, Monday, Tuesday and Wednesday, 8:00 am to 5:00 pm (about 24 hours a week), in our office at 344 N Main St, Canandaigua. No evenings, no weekends. $28 to $35 an hour.
About the practice
New York Dental Implants is a specialty practice in downtown Canandaigua that does one thing: dental implants and full-arch restorations. We are a small team of five around one doctor, Dr. Germain Jean-Charles, an oral and maxillofacial pathologist with more than 25 years in practice and a faculty appointment at the Eastman Institute for Oral Health. We do not do general dentistry, cleanings or hygiene. Our patients are adults making a large decision about their health, and the front desk is the person they meet first, call most, and remember.
What you will do
You are the one person at the front desk. The phones, the schedule and the daily money are yours.
On your days
- Answer the office phone and the office text line, and call back anyone we missed within the hour
- Greet and check in patients, and schedule follow-ups, surgeries and delivery visits in our practice software
- Post every payment the same day in Dentrix and in our clinical app, and post the day's procedures to each patient's ledger
- Print and file the day sheets and deposit slip at the end of each day
- Scan vendor bills into our bill-pay system (you enter; the doctor approves and pays)
- Answer short questions from our back-office team about a patient's balance or schedule, one line each
Every week and every month
- Run the month-end close in Dentrix and export the accounts-receivable report
- Prepare and mail patient statements and balance letters the doctor has approved
- Call patients' medical plans to verify benefits before a medical-insurance consultation, record what the plan said, and call the patient back with what we learned (we never promise coverage)
- Keep the patient records and scans filed where the team can find them
What we are looking for
Must have
- At least two years at a dental front desk, or an equivalent medical front desk with billing
- Hands-on experience with Dentrix (posting payments, the ledger, day sheets)
- Comfortable on the phone with patients who are worried, in pain or asking about money
- Careful with numbers and names: you check your work before you send it
- Able to work in our office in Canandaigua, Monday to Wednesday, 8 to 5
- Authorized to work in the United States
Nice to have
- Dental or medical insurance verification and claims experience
- Experience with Weave, GoHighLevel, Bill.com or QuickBooks Online
- Experience in oral surgery, periodontics or an implant practice
How we work
We write things down. Every task at the front desk has a short written procedure, and we train you on each one with a short quiz, so you are never guessing. Our automated back office handles the reminders, the daily reconciliation and the paperwork that used to pile up on the desk, so your day is the phone, the patients and the money.
Benefits
- Paid sick leave: 1 hour for every 30 hours worked, up to 40 hours a year, as New York State law provides
- Paid prenatal leave: 20 hours a year, as New York State law provides
- New York Paid Family Leave and short-term disability coverage
- Paid training on every task, with written procedures
- A steady schedule: the same three days every week, no evenings, no weekends
- Employee discount on dental treatment at the practice
How to apply
Apply on Indeed with your resume. We reply to every applicant within two business days. The process is a short phone call, then an in-office interview that includes a 20-minute hands-on exercise on Dentrix and our clinical app.
