Duties
- Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
- Answer multi-line phone systems with courteous phone etiquette, directing calls efficiently to appropriate staff members
- Manage incoming and outgoing correspondence, including emails, mail, and packages
- Maintain organized filing systems both digitally and physically to ensure quick retrieval of documents
- Assist with scheduling appointments, meetings, and conference room bookings
- Support office management tasks such as inventory control, supply ordering, and maintaining cleanliness
- Provide customer support by addressing inquiries accurately and courteously in person or via phone or email
- Proofread documents for accuracy, clarity, and professionalism before distribution
- Perform clerical duties including data entry, typing reports, and updating client records with high attention to detail
- Coordinate with team members to ensure smooth office operations and timely completion of administrative projects
Requirements
- Proven clerical or administrative experience in an office environment with strong organizational skills
- Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and general computer skills
- Bilingual abilities are highly desirable to serve diverse clients and team members effectively
- Strong phone reception skills with multi-line phone system experience and professional phone etiquette
- Demonstrated customer service skills with the ability to communicate clearly and confidently with clients and visitors

- Experience in office management or personal assistant roles is a plus
