- Answer multi-line phone systems promptly, using proper phone etiquette, and direct calls accurately to the appropriate departments or personnel.
- Manage incoming and outgoing correspondence, including emails, mail, and packages, with attention to detail.
- Maintain organized filing systems—both physical and digital—and ensure documents are properly stored and easily accessible.
- Support office management tasks such as scheduling appointments, coordinating meetings, and managing calendars.
- Assist with clerical duties including data entry, proofreading documents, typing reports, and preparing correspondence using Microsoft Office applications.
- Handle basic administrative support tasks like photocopying, faxing, ordering supplies, and maintaining a tidy reception area.
- Provide excellent customer service by addressing inquiries professionally and assisting clients or visitors as needed.
- Support personal assistant tasks for staff members when required, demonstrating flexibility and proactive communication.
Qualifications
- Previous office experience or administrative support background is preferred; strong clerical experience is a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with solid computer literacy skills.
