Department: MaintenanceLocations: New Horizons Village (NHV) & MiddleburyFLSA Status: ExemptReports To: Village ManagerJob Type: Full‑timePosition SummaryThe Manager of Physical Plant and Grounds is responsible for planning, organizing, and directing all maintenance, housekeeping, and grounds operations to ensure the safe, efficient, and high‑quality functioning of New Horizons Village and Middlebury facilities. This position oversees capital improvement projects, asset management, inventory, regulatory compliance, and the performance of all mechanical, structural, and environmental systems. The Manager collaborates with organizational leadership to develop strategic priorities, enhance operational efficiency, and maintain an exceptional living environment for residents.Essential Duties and ResponsibilitiesOperations & Facilities ManagementLead, plan, and manage all phases of capital improvement projects, including needs assessment, bidding, vendor selection, contract negotiation, scheduling, and quality control.Provide recommendations for facility upgrades and long-term maintenance planning to support budgeting and strategic goals.Oversee mechanical, electrical, plumbing, HVAC, and life‑safety systems to ensure safety, reliability, and efficiency.Maintain accurate records including equipment specifications, maintenance logs, schedules, manuals, and operational documentation.Staff Leadership & Department OversightSupervise and support the Assistant Manager and all departmental staff to ensure buildings and grounds are clean, safe, and well‑maintained.Promote a departmental culture of professionalism, teamwork, and service excellence.Conduct or participate in apartment inspections with the Care Services Coordinator to ensure timely completion of maintenance needs.Compliance, Safety & Regulatory ManagementMaintain current knowledge of industry standards, codes, and regulatory requirements (ADA, OSHA, local building codes).Ensure compliance with safety standards and implement appropriate preventative maintenance practices.Oversee proper documentation of safety data sheets (SDS) and other compliance‑related materials.Technology, Automation & Process ImprovementUtilize and enhance digital tools to streamline workflow, including work order systems, inventory management, and operational reporting.Recommend and implement process improvements to increase efficiency, accountability, and service quality.Grounds, Vehicles & EquipmentManage landscaping and snow removal contracts; maintain grounds to organizational standards for safety and appearance.Oversee vehicle, golf cart, and equipment maintenance, use, and replacement planning.Administrative Responsibilities & Organizational SupportParticipate in required meetings, training, and committees; complete all administrative tasks accurately and timely.Provide exceptional service to residents, staff, vendors, and visitors.Support special events (e.g., Strawberry Festival, Annual Holiday Party).Establish and maintain an on‑call rotation and be available for emergencies at both NHV and Middlebury.Minimum Qualifications5 years of progressive experience in facilities maintenance, building operations, or physical plant management.Strong knowledge of mechanical, electrical, plumbing, HVAC, and life‑safety systems.Demonstrated experience managing capital projects, vendor relationships, and budgets.Proficiency with facilities management or CMMS software.Working knowledge of ADA, OSHA, and applicable building codes.Valid driver’s license with an acceptable driving record.Physical RequirementsProlonged periods of standing and walking.Ability to climb ladders and bend, crouch, or crawl into difficult or confined spaces.Ability to lift up to 50 pounds unassisted.Preferred QualificationsExperience managing multi‑site residential or community‑based facilities.Background with automation tools, digital workflow systems, or modern facility technologies.Knowledge of sustainability initiatives, energy‑efficient practices, and environmental stewardship.Core CompetenciesLeadership & Team Management – Ability to motivate, coach, and guide staff.Communication & Collaboration – Works effectively with residents, staff, and vendors.Problem Solving & Decision Making – Identifies issues, evaluates options, and implements solutions.Strategic Planning & Prioritization – Manages competing priorities and long‑term goals.Technical Aptitude & Continuous Improvement – Learns and applies new systems and technologies.Customer Service Orientation – Provides high‑quality, resident‑focused service.Professionalism & Accountability – Demonstrates integrity, reliability, and sound judgment.DisclaimerThis job description outlines the general nature and key responsibilities of the position but does not include all duties that may be required.
