SUMMARY:   

The Multi-Site Facilities and Vehicle Assistant is an essential role at New Horizons, responsible for providing custodial and general facilities support across multiple agency locations, including Glendale, Thousand Oaks, and any additional assigned sites.  This position ensures that all facilities are maintained in a clean, safe, and organized condition through routine cleaning, ongoing monitoring of site conditions, and timely reporting of maintenance or safety concerns. Multi-Site Facilities and Vehicle Assistant supports daily workplace operations, assists with events and site setup, and contributes to a positive and professional environment for staff, members, and visitors.  This role works closely with the Business Operations team and may provide support to other facilities staff as needed.

Full Time, Non-Exempt

Rate: $23-$25 per hour

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

Facilities Operations & Custodial Support

  • Ensures that public areas are continuously monitored and cleaned throughout the day, including removal of all litter, damp mopping spillages, emptying of trash receptacles, and removal of spots and/or graffiti from wall and column surfaces to ensure that guests, staff, Members and other stakeholders experience a welcoming, safe, and clean campus.
  • Responsible for answering phones, greeting visitors as needed, directing individuals who arrive at the Glendale office, receiving and distributing mail and packages, maintaining and securing inventory at the location, and providing general overall support as needed in the Glendale location.
  • Assists in preparing the New Horizons Banquet and Training Center (formerly known as Sam’s Café) for events, meetings and programs. This includes set-up, take-down and oversight of the bathrooms in this area prior to guests' arrival.  Assists the cleaning crew with the cleaning of the commercial kitchen as needed.
  • Ensure and maintains equipment in a safe operating condition.  Inspects equipment for cleanliness and in good working order.  Performs routine maintenance and minor repairs per training and equipment specifications.
  • Assigns and/or participates in completing variety of “work orders”, including, but not limited to: moving of office-related furniture, cleaning the interiors of communal refrigerators and microwaves.  Ensures refrigerators are defrosted periodically or as needed.
  • Learns safety-related protocols and procedures, and in collaboration with the Safety Council, assists with safety issues as needed.
  • Uses safety equipment, supplies, and procedures to perform job duties as required; reports fire and safety hazards to the Business Fleet and Facilities Manager
  • or Facilities Custodial Coordinator.

  • Carries communication device(s) as assigned and responds to communication regarding general and emergency custodial duties during work hours.
  • Supports campus security as needed and joins response team in emergencies.
  • Serves as back-up to the Facilities Custodial Coordinator.  Becomes familiar with maintenance responsibilities in all homes.
  • Assists with IT/Security functions as needed.
  • Vehicle Operations & Maintenance

    1.       Assists with scheduled routine maintenance and coordinates repairs.

    2.       Supports driver access administration, including creating and deactivating accounts and maintaining key systems.

    3.       Supports driver training and certification activities, including Safe Driver instruction and retraining as needed.

    4.       Assists with monitoring vehicle cameras, GPS, and inspection systems (e.g., WhipAround) to help maintain compliance and safety standards.

    5.       Coordinates routine maintenance and repair scheduling.

    6.       Reviews driver inspections to help ensure safe vehicle operation.

    7.       Maintains required vehicle safety equipment and documentation.

    8.       Oversees vehicle cleaning, inspections, and condition reporting.

    9.       Serves as back-up to the Business Fleet Manager as needed.

    OTHER DUTIES AND RESPONSIBILITIES include the following:

  • Attends meetings and training courses as directed by the Business Fleet and Facilities Manager.
  • Supports the Agency’s mission and partners with others to accomplish the mission.
  • Maintains the highest professional and ethical standards at all times.
  • Performs additional duties, as assigned.
  • SUPERVISORY RESPONSIBILITIES:  May provide direction to Team Members and volunteers in completing tasks. May also provide direction to other members of the department team as directed by the Business Fleet and Facilities Manager.

    Must have knowledge and successful experience in the custodial field.  

    Must have the ability to be highly flexible, meeting the changing needs of the campus, housing facilities, and the agency on a daily basis.

    Must be skilled in using Word, Outlook, and Excel to complete job tasks.  Have ability to become proficient in Angus and document work orders on a timely and professional basis. professional basis.

    Must be flexible to meet the needs of unexpected assignments and to work evening and weekend hours as needed. 

    Thorough knowledge of the qualities, adaptabilities, and uses of common tools, equipment, and materials used in cleaning and maintenance activities.

    Ability to operate and use tools and equipment of the janitorial service.

    Access to a vehicle, proof of vehicular insurance, a valid California Driver’s License, and a driving record acceptable to the agency’s insurance carrier are required.  Willing to drive company vehicles.

    KEY COMPETENCIES:

    1.       Maintains clean, safe, and well-organized facilities through routine cleaning, inspections, and upkeep of shared spaces.

    2.       Knowledge of basic facility equipment operation, inspection, and minor repair processes to ensure safe and functional working conditions.

    3.       Strong understanding of workplace safety protocols, hazard identification, and proper use of safety equipment, with consistent reporting of risks and incidents.

    4.       Effectively supports operations across multiple locations while adjusting to varying site needs, priorities, and schedules.

    5.       Performs basic equipment checks, minor repairs, and responds to work orders to ensure safe and functional facility operations.

    6.       Familiarity with basic vehicle operations, inspections, tracking systems, and driver support processes, including compliance monitoring tools and documentation requirements.

    EDUCATION AND/OR EXPERIENCE: High school diploma or GED.

    LANGUAGE SKILLS:  Ability to read, speak, write and comprehend in English.  Ability to effectively present information in English in one-on-one and small group situations to customers, Members, and other employees of the organization.
