JOB DESCRIPTION
TITLE: VETERINARY CENTER RECEPTIONIST
REPORTS TO: VETERINARY CENTER MANAGER
HOURS: PART TIME, HOURLY starting at $19/hr
FUNCTION:
To assist the Veterinary Center Manager in organizing and administering high volume, high quality spay/neuter, wellness, and surgical appointments for both public and shelter animals. Additionally, this position may assist the Veterinarian(s) and Veterinarian Technician(s) in providing the necessary medical care to animals in accordance with NHSPCA policies, procedures and laws that apply.
SPECIFIC RESPONSIBILITIES:
Administrative Duties:
- Handle admin and correspondence for appointment booking and follow-up using various software and programs and online booking functions.
- Book appointments for animals owned by members of the public for clinic services via phone, email, in person or online.
- Confirm appointments, remind clients using phone, email or triggered automatic communications.
- Communicate requirements that owners need to meet prior to appointments. Example: not to feed pet prior to surgery day.
- Collect all payments for clinic services in advance or in person on a clinic day. To include processing credit card payments/collecting signatures and handling cash/checks. Maintain accounting and end-of-day reporting for all payments and finances related to Community Clinic services.
- Respectfully and comfortably speak to clients regarding their individual financial need
- Collect required paperwork and signatures on relevant forms before appointments.
- Greet clients and their animals on appointment days inside and outside the building.
- Bring animals into the Vet Center for appointments/surgery days. Set animals up in appropriate kennels with corresponding kennel cards and labels for spay/neuter clinic surgery days.
- Alert Veterinary Technicians to any behavior or medical needs any animal has – based on information from an owner or personal observation. This could include signs/symptoms of illness/injury or fearful/fractious behavior.
- Return animals to owners post-appointment/surgery and provide specific instructions for recovery/follow-up that may be needed. Provide required paperwork and supplies to go home with pet.
- Record Medical Notes/Vet Treatments/Care Requests and other data entry into Shelter Buddy or other shelter/vet practice management software.
- Use discretion and compassion in decision-making when unique cases are presented and consult manager when needed for approval, such as an owner with financial hardship or other extenuating circumstances.
· Assist Veterinary Technician(s)/Veterinarian(s) with any necessary support needed, including euthanasia.
- Participate in videos and photographs to further support the agency’s mission.
- Any other duties as assigned.
EXPERIENCE REQUIREMENTS:
· High School Diploma.
· Fear Free Certified.
· Certificate Course or minimum of 1 years’ experience.
· Experience and interest working with the public, including professional and compassionate communication in-person, over the phone and through email
· Comfort working with a variety of animals and behaviors/temperaments – dogs, cats, small animals.
OTHER REQUIREMENTS:
· Reliable and prompt.
· Able to maintain a flexible schedule – some full days, some partial days and occasional weekend days.
· Able to work independently as well as work as part of a team effectively and with flexibility.
· Willing to communicate regularly with different demographics of the public with patience, compassion and understanding in person, on the phone and via email.
· Able to communicate NHSPCA policies and protocols with confidence.
· Must be comfortable being outside in inclement weather for brief periods of time.
· Must be comfortable wearing PPE, including protective gloves, gowns, booties, bouffant head covering, etc.
· Able to lift 50lbs
