The Onboarding Coordinator plays a critical role in supporting the daily operations of the Talent Acquisition team, with primary responsibility for managing and overseeing the new hire onboarding process. This position ensures new hires experience a smooth, organized, and welcoming transition from candidate to employee and feel supported and well-informed throughout the onboarding process.

The Onboarding Coordinator serves as a key point of contact for new hires, applicants, and employees by providing responsive, friendly, and professional support. In addition, the Onboarding Coordinator serves as a second set of eyes for the Talent Acquisition team, helping to identify and resolve errors, ensure consistency, maintain accurate documentation, and support compliance with organizational and regulatory requirements prior to processing.

Onboarding & New Hire Support

  • Manage and coordinate the end-to-end onboarding process for new hires from offer acceptance through the completion of required onboarding activities.
  • Serve as the primary point of contact for new hires throughout the onboarding process, providing timely communication, guidance, and support.
  • Communicate onboarding requirements, deadlines, next steps, and expectations clearly to new hires.
  • Prepare onboarding materials, including employee files, EEC documentation, federal and state compliance paperwork, and other required forms.
  • Review onboarding documentation for completeness and accuracy and follow up on missing or incorrect information prior to processing.
  • Coordinate and assist with the preparation of the new hire orientation.
  • Track onboarding progress and proactively follow up with candidates, new hires, and internal stakeholders to ensure requirements are completed within established timelines.
  • Identify onboarding issues or barriers and work collaboratively with the appropriate team members to resolve them.

EEC and Compliance

  • Serve as a key liaison for new hires and interns throughout the EEC background screening and suitability process.
  • Communicate EEC requirements, timelines, and next steps to new hires and interns and respond to related questions in a timely and professional manner.
  • Ensure EEC documentation and other required compliance materials are accurately completed, submitted, and tracked.
  • Monitor onboarding to ensure new hires are appropriately cleared prior to attending orientation and beginning employment.

Talent Acquisition Operations & HR Support

  • Conduct regular audits of new hire records to ensure required documentation is complete, accurate, and properly maintained.
  • Serve as a second level of review for Talent Acquisition processes and documentation, identifying errors, inconsistencies, or missing information before items are finalized or processed.
  • Maintain confidentiality of employee, applicant, and organizational information and handle sensitive information with appropriate discretion.
  • Respond to general employee and applicant questions related to onboarding, HR processes, policies, and employment procedures, referring complex or sensitive matters to the appropriate HR team member.
  • Provide administrative support to the Talent Acquisition team, including data entry, reporting, document preparation, tracking, and other operational activities.

  • Ability to manage multiple priorities, deadlines, and onboarding activities simultaneously in a fast-paced environment.
  • Strong written and verbal communication skills with the ability to communicate clearly and professionally with applicants, new hires, employees, hiring managers, and internal stakeholders.
  • Ability to present information effectively in one-on-one and small-group settings.
  • Strong interpersonal skills and the ability to build positive relationships with individuals at all levels of the organization.
  • Demonstrated ability to handle confidential and sensitive information with professionalism and discretion.
  • Strong problem-solving skills and the ability to identify issues, determine appropriate next steps, and follow through to resolution.
  • Strong computer skills and proficiency with Microsoft Office, including Outlook, Word, and Excel.
  • Demonstrated commitment to providing excellent internal customer service and creating a positive new hire experience

Education/Experience 

  • 1–2 years of administrative experience required, preferably working in a Human Resources and/or a Talent Acquisition team.
  • Demonstrated foundational knowledge of employment law, HR and Talent Acquisition best practices with experience in onboarding and orienting new staff.
  • Bachelor’s degree in human resources, Business Administration, or a related field preferred; an equivalent combination of education and experience may be considered.
  • Strong working knowledge of confidentiality practices and HR compliance standards (e.g., HIPAA, EEC, EEOC, EEO) preferred.
  • Demonstrated experience responding professionally and effectively to employee questions related to policies, procedures, or employment processes.
  • Experience maintaining and organizing confidential personnel records, such as I-9s, benefits forms, background screening documentation, and other employment records.
  • Hands-on experience using human resources information systems (HRIS) and applicant tracking (ATS) systems to enter, update, and track employee information.
  • Ability to effectively present information in one-on-one and small group situations to applicants and team members.
  • Strong interpersonal skills, including the ability to deal with emotional or agitated employees in a professional manner. 
  • Familiarity with other HR processes, including offboarding, payroll, and benefits enrollment support.
