Community Education Center – Reception Secretary
Position Summary:
The Reception Secretary serves as the first point of contact for the Community Education Center for New Castle Community School Corporation, providing professional, friendly, and efficient service to visitors, staff, and community members. This role supports district-wide operations through clerical, HR, financial, and compliance responsibilities, ensuring accuracy, confidentiality, and excellent customer service.
Key Responsibilities:
- Serve as the primary receptionist, greeting visitors and directing inquiries appropriately
- Answer and route incoming phone calls in a timely and professional manner
- Prepare and submit corporation deposits accurately
- Distribute incoming U.S. mail and interoffice mail; manage outgoing mail and postage meter
- Manage job postings, applications, and hiring processes through Nimble and the district website
- Process new hire paperwork for certified and non-certified staff
- Maintain I-9 documentation and required reporting
- Monitor and maintain compliance systems, including SafeSchools training
- Manage background check processes through SafeHiring Solutions and the Indiana State Police limited criminal history system
- Coordinate annual reasonable assurance notifications for non-certified employees
- Maintain employee records in WillSub for active and separated staff
- Schedule initial workers’ compensation appointments (HealthLink) and submit reports to EAI
- Administer unemployment claims and required reporting
- Maintain insurance-related records, including damaged/missing equipment, vehicle incidents, and vandalism claims
- Track retiree health insurance and VEBA accounts, including payment processing
- Create and maintain the corporation’s Trojan Times calendar
- Perform additional duties as assigned by the CFO, Assistant Superintendent, or Superintendent
Qualifications:
- High school diploma required; associate’s degree or relevant experience preferred
- Prior experience in administrative, HR, or office support roles preferred
- Strong organizational skills and attention to detail
- Ability to manage confidential information with discretion
- Proficiency in Microsoft Office and ability to learn district systems
- Excellent communication and customer service skills
Compensation:
Starting pay range: $17.50 - $20.50 per hour, based on experience and qualifications.
