POSITION OVERVIEW
The Financial Counselor is responsible for all aspects of patient financial services, including insurance benefit verification, authorization processing, financial consultations, fee collection, and patient account management. This role serves as the primary financial liaison for patients navigating the cost of fertility treatment, and works closely with the billing, clinical, and front desk teams to ensure a seamless and supportive patient experience.
This is a full-time, non-exempt position reporting to the Administrator, Billing Manager, and Medical Director.
PRIMARY RESPONSIBILITIES
- Conduct financial consultations with patients in person and by phone, reviewing treatment fees, insurance benefits, financial programs, payment options, and when fees are due. All IVF and FET cycle patients will receive a financial consultation, as well as new patients, IUI patients, and others as needed.
- Obtain, verify, and enter insurance benefits and eligibility information for all new patients within three days of their new patient visit; scan benefit pages into the EMR system (nAble) and notify patients of their coverage.
- Verify insurance benefits for all patients entering a treatment cycle; obtain authorizations for surgeries, procedures, and treatment cycles; document everything in the EMR system and keep billing updated.
- Process referrals, authorizations, and predeterminations on behalf of patients; enter into the system and notify patients of status and outcomes.
- Determine deposits and fees for surgeries, procedures, and treatment cycles and collect payment accordingly.
- Review each patient's financial history prior to cycle start; collect outstanding balances and communicate unresolved insurance balances to the billing team. Escalate unresolved balances to the Billing Manager and Physician before a new cycle begins.
- Prepare and send financial letters to all treatment cycle patients outlining fees due and financial obligations.
- Review loan and financing programs with patients who have or do not have insurance benefits.
- Obtain necessary waivers for patients who choose not to use their insurance benefit or who lack proper authorization; scan into the EMR system.
- Serve as the patient liaison for billing issues; work with billing, management, and front desk to investigate and resolve concerns.
- Maintain financial spreadsheets in Excel and assist in updating master financial fee sheets and correspondence templates.
- Communicate with patients and staff via Kennect, phone, voicemail, email, Outlook, portal messaging, and EMR task completion throughout the day.
- Maintain and update patient accounts with accurate personal, financial, insurance, and demographic information in nAble.
- Assist front desk with new patient scheduling, scanning, filing, phone coverage, patient education, demographic intake, portal setup, and scheduling as needed.
- Support the billing department and assist with administrative duties and projects as needed.
- Perform other duties as assigned.
MINIMUM QUALIFICATIONS
- High school diploma required; Associate degree in Accounting, Business, or a related field preferred.
- Minimum 2 years of experience in a medical office, working with patient accounts in a patient-facing role.
- BLS certification required or must be willing to obtain prior to start date.
- Proficiency in Microsoft Office, including Excel; ability to access, input, and retrieve information from a computer.
- Medical software or EMR experience preferred; nAble experience a plus.
- Strong interpersonal and communication skills, both verbal and written.
- Ability to explain complex financial and insurance information in a clear, compassionate manner.
- Ability to remain calm, professional, and composed under pressure.
- High degree of accuracy and attention to detail.
- Demonstrated good judgment and ability to work independently and as part of a team.
PREFERRED QUALIFICATIONS
- Experience in a fertility, reproductive medicine, or OB/GYN clinical setting.
- Familiarity with IVF, IUI, and FET treatment cycles and associated billing processes.
- Experience with insurance authorizations, referrals, and predeterminations.
- Knowledge of financial counseling practices and third-party financing programs.
WORK ENVIRONMENT
This position operates in a professional medical office environment. The role may occasionally require lifting up to 15 pounds and involves regular use of a computer and standard office equipment.
