Location: Las Vegas, NV – Onsite (This role is not eligible for Remote or Hybrid)
Starting Salary Range: $60,000
The starting salary range for this role is a reasonable estimate, with a goal to pay a competitive market salary focusing near the median of our pay ranges. However, final offers for all positions will be based on several factors such as experience level, education and certification, skills, and internal pay equity.

This position oversees front end functions, supports provider coordination, manages client documentation, and ensures accurate billing and reporting. The ideal candidate is detail-oriented, organized, and capable of leading a team in a fast-paced behavioral health environment.
What you’ll do:Administrative Oversight & Coordination
- Oversee and assist front desk staff with administrative functions, client intake, and scheduling.
- Assist front desk staff with coverage as needed.
- Aid front end team with real time insurance verification and troubleshoot issues.
- Collaborate and oversee offsite data entry team functions to ensure adherence to billing cycle, documentation processes and follow up is completed in timely fashion.
- Develop and implement frontend protocols to improve efficiency, reduce errors, and enhance client satisfaction.
- Create process and instruction documents to ensure processes and workflows are documented and followed by staff.
- Conduct monthly insurance verifications and partner with billing to resolve issues.
- Review and update client status and maintain client rosters and documentation.
- Ensure completion of annual updates of Mental Health Assessments (MHAs) and client paperwork.
- Monitor communications and facilitate resolution regarding missing paperwork, MHAs, or other essential documentation.
- Review billing problem list for incorrect or incomplete frontend information and resolve issues to ensure ability to bill for services.
- Serve as lead over the data entry team to identify discrepancies; work with Support Center and billing staff to report and resolve issues daily.
- Provide updates on support center frontend billing processes.
- Generate reports to highlight trends, gaps, and corrective actions.
- Send client census reports to providers as needed.
- Set up and maintain monthly templates in the Teams channel for use by staff.
- Organize and manage the therapy log.
- Perform additional duties as needed to support Front end operations of the Support Center and ensure backend billing cycle components are completed in timely fashion.
- Skilled in managing complex calendars, coordinating provider schedules, and ensuring timely documentation and reporting.
- Proficient in verifying and organizing client files, including therapy sheets, logs, and intake documents within shared digital systems.
- Experience with insurance verification, identifying billing discrepancies, and collaborating with billing staff to resolve issues.
- Capable of handling urgent client situations with efficiency, ensuring accurate and timely data entry for crisis and nextday services.
- Strong leadership in supervising front desk operations, supporting team members, and maintaining communication channels and templates.
- Excellent verbal and written communication skills with the ability to interact professionally with clients, providers, and administrative staff.
- Comfortable using Microsoft Office Suite, Teams, shared drives, and electronic health record systems like AdvancedMD
- Highly organized with attention to detail in managing daily templates, logs, and census reports.
- Minimum 3 years of administrative or front desk experience, preferably in a healthcare, behavioral health, or homeless community setting.
- High school diploma or equivalent is required; associate or bachelor’s degree preferred.
- Must pass drug screening and background check in order to start employment with NovumHealth.
- Must have independent transportation vehicle to go back and forth between Support Center and Corporate office.
General Requirements
- Ability to sit, stand, walk, and reach frequently.
- Ability to climb or balance, stoop, kneel, or crouch occasionally.
- Ability to frequently lift and carry up to 10 lbs.
- Close vision required to see computer monitors, read documents, and operate copy and fax machines.
- Work environment is indoors and climate controlled.

- Comfortability working with the unhoused, mentally ill, or high needs based patient population.
