Neuwirth & Ashford CPAs PLLC is an established Scottsdale-based CPA firm serving approximately 2,000 individual and business clients. We are known for high-touch service, thoughtful communication, and a proactive approach to helping our clients.
ROLE OVERVIEWWe are looking for an experienced, highly organized and proactive Executive Assistant & Client Coordinator to provide direct support to the Managing Partner and help keep client communication, scheduling, and workflow moving efficiently.
This is a long-term administrative and client service position, not an accounting or tax preparation role. We are looking for someone who enjoys executive support, client coordination, organization, and keeping a busy professional environment running smoothly.
The right person is naturally organized, communicates well, follows through consistently, and notices what needs attention without always waiting to be asked. You should enjoy being the person who keeps things moving and makes sure details don't fall through the cracks.
This is a local, primarily in-office position at our North Scottsdale office. We are looking for someone who lives in Scottsdale or the surrounding area with a reasonable and reliable commute.
KEY RESPONSIBILITIES- Manage and organize a high-volume executive email inbox, including prioritizing messages, tracking follow-ups, and drafting client responses for review
- Serve as a professional and friendly point of contact for clients
- Help manage the Managing Partner's schedule, priorities, and outstanding items
- Track client workflow and proactively follow up on open items with clients and team members
- Coordinate scheduling and meetings
- Assist with document collection, electronic signatures, and secure client portal activity
- Prepare and send client communications and status updates
- Monitor deadlines and identify items requiring attention
- Coordinate communication between clients, the Managing Partner, and the internal team
- Maintain organized administrative processes and client records
- Assist with special projects and general day-to-day administrative needs
- Prior experience as an executive assistant, administrative professional, client coordinator, office coordinator, or similar role
- Excellent organization and attention to detail
- Strong professional written and verbal communication skills
- Ability to independently manage multiple priorities
- Excellent follow-through and a proactive approach to work
- Comfortable managing a busy inbox and communicating directly with clients
- Confident with technology and able to learn new systems quickly
- Dependable, professional, and comfortable working in a deadline-driven environment
- Interested in a long-term career in administration, executive support, client service, or office operations
- Local to Scottsdale or the surrounding area with a reasonable commute to our North Scottsdale office
- Experience in a CPA firm, law firm, financial services firm, medical practice, or other professional-services environment is a plus, but accounting experience is not required
- $24-$28 per hour, depending on experience
