We are seeking a highly organized, detail-oriented, and proactive Administrative Assistant to support our growing team and executive leadership. You will work closely with the CEO, department heads, and cross-functional teams to help ensure smooth day-to-day operations and effective communication across the organization.

Job Description:

The Administrative Assistant will provide day-to-day administrative and organizational support to executive leadership and the broader team. This role will involve managing schedules, coordinating meetings, organizing information, supporting internal communication, and assisting with special projects. The ideal candidate is someone who is highly organized, communicative, adaptable, and comfortable working independently while collaborating with multiple departments.

Key Responsibilities:

  • Manage the CEO’s calendar, correspondence, meetings, and travel arrangements
  • Coordinate internal and cross-functional meetings, including scheduling, agendas, materials, and follow-up items
  • Support recruiting efforts, including candidate communication, interview coordination, scheduling, and onboarding activities
  • Assist with day-to-day business operations, including scheduling, logistics, documentation, and coordination across departments
  • Facilitate communication and the flow of information between the CEO, department heads, and internal teams
  • Support the CEO and leadership team with special projects, strategic initiatives, and organizational priorities

Additional Responsibilities:

  • Prepare presentations, reports, agendas, and other materials for internal and external meetings
  • Maintain organized records, documents, and internal resources
  • Assist with day-to-day office operations, scheduling, logistics, and administrative tasks
  • Provide leadership with visibility into departmental priorities, progress, and areas requiring attention
  • Support follow-up and coordination on action items across departments
  • Assist with improving administrative processes and internal workflows
  • Handle confidential information with professionalism and discretion
  • Take on additional administrative tasks and projects as needed to support the organization

Qualifications:

  • Associate’s or Bachelor’s degree preferred
  • Previous administrative, office, or executive support experience preferred
  • Residency in Massachusetts (MA)
  • Availability to work on-site at our office Monday-Friday, 9-5
  • Strong written and verbal communication skills
  • Excellent organizational and time management skills
  • Strong attention to detail and ability to manage multiple priorities
  • Proficiency with Microsoft Office and/or Google Workspace
  • Ability to work independently, take initiative, and follow through on tasks
  • Compensation based on skills and experience

Pay: $55,000.00 - $70,000.00 per year
