Art Call Center.
We’re looking for
an experienced, technically savvy, astute, process-driven
Executive Assistant to support our corporate office
operations.
The Executive Assistant will
report to organizational leadership and will be
responsible for the day-to-day workflow and executive
administrative support of organizational operations at the
Union, NJ Corporate Office.
Additional responsibilities
will be to handle day-to-day tasks, coordinating
program-related internal and external communications,
general office day-to day functions such as mail, office
maintenance coordination and inventory systems and
controls.
Essential Job
Functions:

Direct
administrative support for the company CEO and other company
leadership.

All
administrative tasks and approved company corporate
communications.
-
The
coordination and support for company meetings and corporate
trainings.
-
Handle
reception duties including greeting visitors, processing
mail, packages, etc.
-
Onsite
communication, and coordination with building
maintenance.
-
Oversee the
ordering of inventory office supplies and development of
inventory system.
-
Ensure all
supplies are organized and kept at appropriate stock
levels.

Coordinate
fire drills for office staff and ensure that other building
safety and/or compliance requirements are
met.

Prepare
purchase orders for any office supplies and equipment and
submit to the COO for review and
approval.

Review
invoices for services rendered and submit to the Finance
Department for payment.

Perform
other duties and special projects as
assigned.
Minimum
Requirements:
-
Associates
Degree or 2 years of related job
experience.

1-3 years of
experience working with office administration and inventory
management.

Proficient
in MS Office Suite, with a high level of
competency with Excel and database
management.

Authorized
to work in the U.S.
