Position Summary:
The Scheduler coordinates intraoperative neuromonitoring for surgical cases, handling scheduling requests from surgeons and hospitals via phone, email, and fax. This role requires excellent communication and customer service skills to interact effectively with clients, alongside meticulous attention to detail for accurate scheduling and data entry. Familiarity with medical terminology and prior medical field experience are preferred.
Essential Duties & Responsibilities:
- Schedule daily and emergent cases, confirming next-day cases through check-in calls.
- Build and maintain relationships with surgeon and hospital schedulers, adapting scheduling routines to their needs.
- Resolve client issues promptly, documenting all interactions.
- Enter booking data into Zinniax (IOM scheduling software) from various communication methods.
- Accurately input and upload patient demographics and insurance information into Zinniax.
- Obtain and verify missing patient details, insurance information, History and Physicals (H&Ps) via phone, email, or fax.
- Learn and use multiple EMR systems to retrieve necessary documents.
- Follow scheduling Standard Operating Procedures (SOPs) and guidelines.
- Ensure data accuracy in Zinniax and maintain updated records on booking policies and preferences.
- Communicate detailed schedules to regional teams daily.
- Assess and manage current and future scheduling needs.
- Triage urgent scheduling matters (e.g., add-ons, cancellations) and escalate as needed.
- Collaborate with other departments to gather information for authorization, billing, or claim processing.
- Perform occasional administrative tasks as assigned by the supervisor.
Qualifications & Requirements:
Education Licenses/Certifications:
- High School Diploma or equivalent.
Experience:
- Experience with Microsoft Office, including Excel.
- Previous experience in Surgery/OR scheduling is a plus.
Skills & Competencies:
- Excellent organizational and communication skills.
- Proficiency with MS Office and basic typing (minimum 30 wpm).
- Familiarity with business metrics and scheduling software.
- Ability to work independently with minimal supervision.

- Ability to manage stress and maintain productivity under tight deadlines and changing priorities.
