Essential Duties and Responsibilities:
Client Service & Administrative Support
- Serve as a primary point of contact for clients and prospects, scheduling meetings with advisors and assisting with service requests.
- Prepare and distribute client agendas, statements, proposals, presentations, forms, and other documents.
- Maintain accurate and up-to-date client records within CRM and workflow systems, ensuring strict confidentiality.
- Assist with onboarding new clients, including gathering documentation and facilitating account setup.
- Support advisors in modeling financial plans and preparing client-facing materials.
- Coordinate with compliance, operations, and internal teams to ensure smooth, efficient service delivery.
Communication & Coordination
- Act as a liaison between advisors, staff, and clients to support clear and timely communication.
- Review and route incoming correspondence, including mail, phone calls, and emails.
- Assist with meeting preparation, agendas, notes, and follow-up action items.
- Help keep workflows organized and moving forward—no two days are exactly the same.
Compliance & Safety
- Ensure adherence to internal procedures, regulatory requirements, and company policies.
- Maintain and update safety policies and assist with periodic checks.
- Handle sensitive information with professionalism, discretion, and care.
Required Skills/Abilities:
- Strong organizational and time-management skills with the ability to manage multiple priorities.
- Excellent communication and interpersonal skills with a client-first mindset.
- Proficiency in Microsoft Office Suite, CRM systems, and office management tools.
- Familiarity with financial services, investment products, or basic market concepts.
- High level of professionalism, discretion, and confidentiality.
- A positive attitude, team-oriented approach, and willingness to learn.
Education and Experience:
- Bachelor’s degree in Business Administration, Finance, Management, or related field.
- 5 years of experience in client service or administrative support, preferably in financial services.
- FINRA Series 7 license preferred or willingness to obtain.
- CFP designation preferred, or willingness to pursue.
Physical Demands, Work Environment, and Location:
- Full-time, in-office position based in Omaha, NE.
- Standard hours fall between 7:00 AM – 6:00 PM, with occasional flexibility as needed.
- Prolonged periods of sitting and computer work.
- Ability to lift up to 15 pounds occasionally.
Compensation & Benefits:
- $55,000–$72,000 base, commensurate with experience, with additional compensation increases tied to achieving Series 7 and/or additional certifications.
