The Role

Nelson Development is hiring an Executive Assistant to provide confidential, high‑caliber support to the CEO. Anticipate needs, shape the day’s flow, and produce first‑pass, polished outputs that keep priority work uninterrupted. Steward the CEO’s time and information; prepare executive communication and concise briefings; capture decisions and publish actions; maintain disciplined executive records. Enforce standards on materials routed to the CEO (format, completeness, accuracy, naming, and brand tone) so reviews are efficient and consistent. Preserve schedule continuity through discreet personal admin (errands, personal scheduling, essential logistics) executed with absolute discretion and executive‑grade communication. This is a high‑trust, high‑competency support role for someone who thrives in elite execution.

  • Standards compliance across materials routed to the CEO (format/completeness/accuracy/branding).
  • Personal admin handled discreetly to maintain continuity and reduce friction.


Key Responsibilities

  • Executive Orchestration: Gatekeep calendar and inbox; structure daily flow; stage agendas, pre‑reads, and materials; insulate priority work from noise.
  • Briefings & Communication: Draft concise summaries, talking points, and first‑pass memos/emails; align tone and brand; track follow‑ups and close loops.
  • Information Stewardship: Maintain disciplined executive records (naming, versioning, pathing); file decisions, approvals, and key correspondence.
  • Standards Enforcement: Pre‑screen materials bound for the CEO for format/completeness/accuracy/naming/brand tone; request corrections before review.
  • Decision & Action Hygiene: Capture outcomes from meetings; publish actions to the system; monitor closure; surface only exceptions promptly.
  • Personal Admin (Discreet): Manage personal scheduling, essential errands, and logistics that protect schedule continuity, confidential and minimal‑visibility.
  • Executive‑Level Coordination: Arrange senior touchpoints and onsite reviews as needed; represent the office with professional poise.


Qualifications

  • Education: Bachelor’s degree preferred (Business, Communications, Operations, or related). An Associate’s degree is acceptable with a strong record of executive support. A high school diploma is acceptable with 3 years of directly comparable Executive Assistant experience.
  • Experience/Tenure: 3 years in an Executive Assistant role supporting a CEO/Principal or senior executive in a standards‑driven environment; 5–8 years preferred. Demonstrated comfort with personal admin (errands, personal scheduling, essential logistics) handled with strict confidentiality.
  • Confidentiality & Judgment: Demonstrated discretion with sensitive information; strong discernment on when to escalate.
  • Execution & Writing: Exceptional organization, crisp writing, and reliable follow‑through under time constraints.
  • Tool Fluency: Microsoft 365; disciplined file/task hygiene; quick learner across common executive tools.
  • Standards Orientation: Comfortable enforcing format, completeness, and accuracy on all work product and redirecting non‑conforming work.
  • Personal Admin Comfort: Professional handling of personal scheduling, errands, and logistics with discretion.
  • Local Presence: Based in Conway; able to handle essential local logistics professionally.


Preferred Qualifications

  • Education (Preferred): Bachelor’s degree in Business, Communications, Operations, or a related field; relevant certifications or advanced coursework
  • Tenure (Preferred): 5–8 years of progressive responsibility in executive or high-level administrative support for a CEO or senior executive, ideally in a lean, standards‑oriented setting.
  • Familiarity with construction permitting/compliance and real estate transaction documentation at the executive‑file level.


Compensation & Benefits

  • Compensation: Competitive; commensurate with experience and demonstrated ownership.
  • Time Off: Two weeks PTO; six paid holidays; paid company‑wide winter break (dates set annually).
  • Work Setup: Primarily in-office, with flexibility for everyday life; company-provided computer and desk setup
  • Direct Access: Partner with the CEO through reviews to inform professional growth
