Position Title: Assistant Project Manager
Reports To: Project Manager
Supports: Superintendent(s), Foreman(s), Accounting/Job Cost Team, Estimating
Classification: Full-Time, Exempt
Location: Field & Office (regional travel required)
Position Summary
The Assistant Project Manager (APM) supports the Project Manager in planning, coordinating, and executing commercial construction projects. This role ensures accurate project documentation, assists in managing schedules and budgets, coordinates communication among stakeholders, and helps projects stay on track with company expectations for safety, profitability, schedule compliance, and quality.
The APM must be organized, proactive, and professional — modeling the company’s Core Values: Safety, Team Approach, Fairness, Perseverance, and Professionalism.
Key Responsibilities
1. Accurate & Timely Project Documentation
· Assist in preparing, issuing, and tracking RFIs, submittals, and transmittals.
· Maintain and update project document logs and revision history.
· Prepare meeting agendas and take minutes; distribute within 24 hours.
· Assist in drafting and preparing change order requests and supporting documentation.
· Manage project file systems (digital and paper) in accordance with company standards.
· Track permit status and inspections; ensure compliance with project requirements.
· Assist with closeout packages — warranty logs, O&M manuals, and as-builts.
2. Proactive Schedule & Workflow Support
· Assist in updating 2/4-week look-ahead schedules in coordination with PM and Superintendent.
· Follow up on schedule tasks with subcontractors and vendors.
· Track long-lead materials and coordinate delivery logistics.
· Support PM and Superintendent in preparing for weekly field coordination meetings.
· Monitor progress report entries and ensure critical issues are escalated.
3. Assist with Job Cost & Financial Forecasting
· Review subcontractor/vendor invoices for accuracy and proper cost coding before PM approval.
· Prepare backup documentation for change order pricing.
· Assist with monthly WIP reporting — collect manpower data, estimated percent complete, and production reports.
· Track daily labor reports and enter data for cost comparison.
· Monitor field purchase logs and compare against project budgets.
4. Support Communication & Stakeholder Coordination
· Schedule and coordinate biweekly project meetings with subcontractors and project team.
· Track open action items and ensure follow-up.
· Communicate RFI responses and change directives to the Superintendent and subcontractors.
· Assist in resolution of conflicts between subcontractors through professional communication.
· Maintain consistent professional representation of the company with clients and partners.

· Assist Superintendent with pre-task safety plans and jobsite documentation.
· Support safety audits and correct non-compliance reports.
· Participate in internal and field-level meetings and complete assigned To-Dos.

Qualifications
Required
- Bachelor’s degree in Construction Management, Engineering, or related field (or equivalent practical experience).
- 2–5 years construction experience in field or project coordination.
- Proficient in MS Office 365 and schedule coordination.
- Strong written and verbal communication skills.
Preferred
- Experience with commercial projects valued over $1M.
- Ability to interpret drawings, contracts, and technical documents.
- Familiarity with job costing and WIP reporting.
- PM software experience (RedTeam, Procore, Viewpoint, MS Project, P6, Bluebeam, etc.)

Physical & Environmental Requirements
Frequent visits to job sites (exposed to outdoor conditions).
- Ability to walk, climb, and stand for extended periods.

- Valid driver’s license and willingness to travel within regional projects.
Schedule Expectations
Standard hours: Monday–Friday (8:00 AM – 5:00 PM or similar).
- Extended hours may be required during critical project phases.
- Attend weekly leadership and project progress meetings.
Pay: $60,000.00 - $75,000.00 per year
