Project Support

Project Document Management
- Prepare, process, and distribute:
o Subcontractor and Owner Change Orders
o Invoices and Pay Applications
o Requests for Information (RFIs) and Submittals
o Agendas, Meeting Minutes
o Drawing Logs
o Project drawing updates
o Requests for Proposals (RFPs) to subcontractors
Project Support
- Manage the Construction Development Notification (CDN) process across all projects
- Assist with owner proposals, including preparation and assembly of related documentation
- Develop Operations & Maintenance Manuals and support project closeout procedures
- Initiate and maintain project setup files and documents
- Ensure compliance with out-of-state operating requirements
- Provide assistance with Davis-Bacon wage documentation
- Support Field Superintendent with safety documentation
- Provide support on Autodesk Build projects
- Manage electronic document distribution via DocuSign
- Collaborate across departments to improve systems and processes
- Provide onboarding and training support for new hires
- Attend company and project-related meetings as needed
- Ensure consistency and accuracy in project documentation and internal processes
- Maintain confidentiality of sensitive personal and project-related information
- Build and maintain strong working relationships with stakeholders at all levels
- Balance and prioritize multiple projects and urgent requests
- Organize and synthesize information from various sources for formal distribution
- Flexibility to work in a hybrid environment with on-site support as needed
- Education beyond high school diploma preferred
- Proficiency in Microsoft Office Suite
- Experience with CMiC (or similar construction management software), Autodesk Construction Cloud, Bluebeam, and DocuSign preferred
- Strong grammar, spelling, and proofreading skills
- Familiarity with standard office equipment
- Ability to lift up to 25 lbs
- Strong written, verbal, and interpersonal communication skills
- Highly organized with strong multitasking and prioritization skills
- Self-motivated with the ability to work independently and collaboratively
