The Project Administrator supports the Project Management team by coordinating administrative and operational tasks that help ensure projects are delivered on time and within budget. This role also plays a key part in project closeout activities, which are critical to final billing and revenue recognition.
Key Responsibilities
Project Coordination & Documentation
- Set up and maintain project folders from kickoff through closeout
- Ensure all project documentation is accurate, complete, and compliant
- Prepare and submit required data for client approvals
- Generate and maintain closeout documentation packages
Billing & Financial Support
- Assist with project billing and invoicing processes
- Prepare and manage Schedule of Values (SOV) within required timelines
- Validate timesheets, expense reports, mileage, and credit card submissions
- Support incentive and commission validation
Administrative Support
- Perform project data entry and maintain internal systems
- Manage service tickets and related documentation
- Provide consistent updates and communication to internal teams and clients
Professional Standards
- Represent NCS with professionalism and integrity at all times
- Follow all safety protocols and uphold quality standards
- Deliver a high level of customer service through clear and timely communication
- Perform additional duties as assigned
Key Performance Indicators (KPIs)
- Project folder setup completed at kickoff (100%)
- Project documentation maintained at full compliance (100%)
- Closeout documentation completed within 10 days of project completion
- Project billing processed within 5 days of completion
- Schedule of Values completed within 5 days of award notification
Qualifications
- High school diploma or GED required; 2 years of related experience preferred
- Proficiency in Microsoft Office, especially Outlook; ability to learn new systems
- Strong written and verbal communication skills
- Excellent organizational and problem-solving abilities
- Valid driver’s license and authorization to work in the U.S.
- Ability to pass a background check and drug screening
Work Environment & Physical Requirements
- Ability to work flexible hours, including evenings, weekends, and overtime as needed
- Prolonged periods of sitting and computer use
- Occasional standing and walking
- Work may be performed in both office and field environments
