FUNCTIONAL ROLE:
Fast pass role where time management is imperative
This individual is responsible or a variety of duties in support of the functional areas of Sales, Operations and Finance. The support role includes assembling operational data, entry into either proprietary spreadsheets or ERP systems such as Visual Shop or QuickBooks, and submitting the completed work on time per scheduled deadlines. The Business Support Supervisor is highly proficient in office protocols and has expert knowledge in spreadsheets, database structure and ERP systems in general. The individual will contribute to a positive team atmosphere and follow policies and guidelines in a consistent manner. This position provides day-to-day assistance to the President and may include duties ranging from customer contact to human resource involvement requiring the strictest confidentiality. Communications with senior staff and general management are to be fulfilled as required to assist and ensure the operational targets for throughput, On-Time Delivery and customer specifications are met.
REQUIREMENTS:
· Education:
· Bachelor’s Degree in Human Resource Management, Business or equivalent work experience in Administration or Office Management.
· Experience:
· Minimum of 4 years’ experience in an office environment serving as personal assistant or office manager. Includes customer service, secretarial or administrative roles.
DUTIES AND RESPONSIBILITIES:
· Complete customer invoicing on a daily basis.
· Arrange, organize order shipment. Includes paperwork, logistics arrangements, notifications and invoicing as required by the customer purchase order.
· Open and distribute incoming mail.
· Distribute weekly payroll checks.
· Assist the Quotations Specialist in typing, copying, filing and submitting customer RFQ’s.
· Enter Restoration work into the Private Ticket Orders database. Maintain the database as orders are completed and payments received.
· Assist with Contract Review, Order Entry and Route Control.
· Perform the steps necessary as defined in the Collections SOP to call and collect on past due A/R.
· Enter A/R receipts into Visual Shop and QuickBooks ERP systems.
· Make remote deposits of all A/R receipts.
· Issue Monthly Statements to all A/R accounts.
· Collect operational data for the Weekly Management Flash Report, preparing the KPI metrics.
· Asist in the Purchasing function as requested.
· Complete Grant Requests and Applications to the State of New York and Federal programs at the request and direction of the President.
· Answer phones and keep the messaging current.
· Serve as backup IT on-site designate.
· Complete customer surveys to maintain good standing with all purchasing and quality systems.

· Depends on experience
Pay: $43,680.00 - $47,840.00 per year
