Job Title: Commercial Operations Coordinator
Job Type: Full-Time Location: Emmett, ID
Schedule: Monday–Friday, 9:00 AM – 4:30 PM
Pay: $21.00/hour to start, with opportunity to increase to $23.00/hour upon demonstrated proficiency
Role Summary
The Commercial Operations Coordinator serves as an administrative and coordination partner to the Director of Commercial Operations, supporting the flow of information, documentation, and orders between the office and production teams.
This role is primarily responsible for ensuring that jobs, paperwork, and communication move efficiently between departments. The Director of Commercial Operations oversees office-side decisions, while the Production Lead manages warehouse execution—this position helps keep both aligned and moving.
Key ResponsibilitiesOperations & Coordination Support
- Support the Director of Commercial Operations with daily administrative and coordination tasks
- Assist in maintaining smooth communication between office and production teams
- Help ensure priorities and updates are clearly communicated across departments
Order & Production Coordination (Support Role)
- Prepare and organize job documentation, work orders, and job packets
- Enter and maintain jobs in QuickBooks and internal systems
- Assist in processing and releasing customer orders to production
- Print, organize, and distribute job documentation to support production workflow
- Coordinate shipment documentation, labels, and scheduling support
- Track order status and follow up internally to support deadlines
Customer Support & Communication
- Respond to customer inquiries via email and phone in a timely and professional manner
- Prepare and send quotes for stock items only
- Route custom quote requests to the Sales Engineer or Director of Commercial Operations
- Provide order updates and communicate timelines to customers
- Maintain clear documentation of customer communications and order status
Administrative & Business Support
- Assist with purchase orders and vendor coordination
- Provide backup support for invoicing, accounts receivable, and general administrative tasks
- Track employee hours and assist with basic HR and onboarding paperwork
- Maintain organized records, files, and documentation
Marketing & Digital Management
- Plan, create, and publish weekly social media content and monthly newsletters
- Ensure all marketing aligns with company branding and goals
- Maintain and update the company website and customer portal
- Coordinate promotions, product updates, and messaging with leadership
- Lead the annual company catalog update and publication, ensuring accuracy, consistency, and on-time delivery
Pricing & Data Support
- Assist in maintaining pricing structures and product lists
- Support updates across internal systems, website, and customer-facing materials
- Maintain CRM accuracy and overall data integrity
Core Ownership Areas
- Accuracy and organization of job documentation and records
- Timely flow of information between office and production
- Data accuracy across systems (CRM, pricing, job tracking)
- Support of marketing deliverables (including catalog publication)
Qualifications
- 1–3 years of experience in administrative support, operations coordination, or customer service
- Strong organizational and multitasking skills
- High attention to detail and accuracy
- Clear and professional written and verbal communication skills
- Comfortable handling customer phone and email communication
- Ability to follow processes and support multiple team members effectively
Preferred (Not Required)
- Experience in inventory or production environments
- Familiarity with social media and marketing tools
- Website management experience (GoDaddy)
- Experience with QuickBooks and Canva
