George School, an all-gender Quaker boarding/day high school located in Newtown, PA, seeks an Executive Assistant to support the Head of School, Associate Head of School, and Board of Trustees.

Responsibilities

  • Provide comprehensive administrative support to the Head of School, Associate Head of School, and Board of Trustees.
  • Manage complex calendars and scheduling, including recurring leadership and community meetings.
  • Coordinate travel arrangements and process expense reports for HOS and AHOS.
  • Support committees such as the Administrative Team, Advisory Council, Governance Committee, Housing Committee, and Meeting for Business.
  • Coordinate with Human Resources and the Business Office to organize and synthesize contract-related information.
  • Coordinate full-cycle administrative support for faculty and other administrative searches, including candidate visit schedules, interview logistics, and feedback collection.
  • Board of Trustee Support: Plan and manage all aspects of Board of Trustees meetings, including timelines, report collection, compilation of materials, meeting logistics, and accurate minutes.
  • Board of Trustee Support: Maintain the Board portal and oversee annual updates to the Trustee Handbook.
  • Board of Trustee Support: Serve as staff liaison to the Governance Committee, providing administrative and strategic support related to new Trustee orientation, governance, compliance, bylaws, nominations, and charters.
  • Provide logistical and administrative support for major committees and leadership groups, including agenda preparation, minute-taking, and follow-up action items.
  • Serve as a liaison to faculty, the Business Office, and Student Life regarding field trips and related scheduling needs.
  • Serve as a liaison regarding substitute coverage payments and other one-off compensation matters.
  • Serve as an active member of the Commencement Committee and support all aspects of commencement planning and execution.
  • Provide leadership or support for major institutional events, including Opening Days, Convocation, Recognition Assembly, and Closing Banquet.
  • Support Housing Committee operations, including meeting scheduling, communications, surveys, and reporting.
  • Coordinate annual processes such as sabbatical and grant administration, faculty stipend letters, holiday card lists, and Administrator on Duty scheduling.
  • Lead or contribute to major institutional initiatives such as accreditation processes, leadership transitions, governance improvements, and system or portal enhancements.
  • Fulfills social duty responsibilities or the equivalent.

Requirements

  • Associate or bachelor's Degree and at least five years of progressively responsible experience as an administrative assistant or similar role, preferably in an independent school, nonprofit, or mission-driven organization.
  • Exceptional organizational, written, and verbal communication skills.
  • Demonstrated ability to handle highly confidential information with discretion and professionalism. Remain calm and poised in high-pressure situations.
  • Strong project management skills with the ability to manage multiple priorities and deadlines.
  • High level of initiative, judgment, and problem-solving ability.
  • Proficiency with standard office technology, digital platforms, and document management systems.
  • Demonstrated commitment to working towards belonging, inclusion, and cultural competency.
  • Commitment to the traditions and philosophy of a Quaker educational community.
  • Ability to work with a diverse student population and a style consistent with Quaker values.
