Position Summary
The Billing Coordinator is responsible for managing transportation billing processes, ensuring accurate invoicing, trip reconciliation, and timely payment tracking across TranSouth's contracts and programs. This role requires strong attention to detail, familiarity with billing and dispatch platforms, and the ability to coordinate with internal teams and external agencies to resolve discrepancies and maintain financial accuracy.
Key Responsibilities
- Prepare and submit invoices for transportation services across multiple contracts, programs, and funding sources.
- Reconcile trip data in dispatch and billing systems, identifying and resolving discrepancies with operations staff and partner agencies.
- Track invoice approval and payment status; follow up with clients, agencies, and internal teams to ensure timely collection.
- Maintain accurate billing records, supporting documentation, and organized financial files in accordance with company and regulatory requirements.
- Assist with weekly and monthly revenue reporting, including preparation of service summary reports and supporting financial data for leadership review.
- Support private pay billing and coordinate invoicing with individual clients and contract partners as assigned.
- Collaborate with operations and finance teams to ensure billing data aligns with trip logs, driver records, and contract terms.
- Perform data entry and updates in billing systems and maintain up-to-date records of all billing activity.
- Perform other duties as assigned by the Finance Director or Operations Manager.
Qualifications
- High school diploma or equivalent required; associate's or bachelor's degree in accounting, finance, or a related field preferred.
- 1 years of billing, accounts receivable, or related administrative experience; transportation or healthcare billing a plus.
- Proficiency in billing platforms, dispatch software, and Microsoft Excel.
- Strong attention to detail, organizational skills, and ability to manage multiple priorities under deadlines.
- Effective communication skills with the ability to work cross-functionally and with external agency partners.
