The HR Assistant supports the HR team and employees by maintaining accurate records, assisting with HR processes, and ensuring adherence to internal standards and regulatory requirements.
Essential Duties & Responsibilities
Personnel File & Record Keeping:
- Organize and maintain employee personnel files (electronic and physical) with accuracy, confidentiality, and compliance.
- File and process documentation related to employment changes, status updates, accommodations, and other HR actions.
- Maintain compliance with record retention policies and audit‑ready file standards.
- Ensure documents are consistently updated and easily retrievable.
HR Data Entry & Reporting:
- Enter and update employee information in the HRIS with a high degree of accuracy.
- Assist with generating reports, employee lists, and tracking tools for HR needs.
- Maintain logs and spreadsheets related to compliance, ADA documentation, training record verification, and other HR processes.
- Support the creation and distribution of HR forms, templates, and routine correspondence.
Employee Support & Communication:
- Serve as a point of contact for general HR inquiries regarding policies, procedures, and HR processes.
- Provide customer‑service‑oriented support to employees and managers.
- Assist in scheduling meetings, interviews, and trainings as requested.
- Help communicate HR updates, reminders, and documentation requests.
Compliance & Administrative Support:
- Assist with collecting, organizing, and maintaining compliance-related documentation (e.g., licensing, training verifications, mandatory forms).
- Support HR projects related to audits, internal reviews, and policy updates.
- Ensure all HR documentation meets organizational and regulatory standards.
- Help maintain consistency across HR practices, files, and systems.
Minimum Qualifications
- Education: High school diploma or equivalent required; additional HR coursework or certification preferred.
- Experience:
- Previous experience in HR administration, office administration, or related support role preferred.
- Experience maintaining personnel files, handling confidential information, or working with HR documentation.

- Technical Skills:
