Reports To: Manager, Clinical Registry Data Integrations & Migrations

National Quality Systems (NQS) is a healthcare SaaS company delivering modern clinical registry platforms for Trauma, Burn, Surgery, and EMS programs. Our team helps hospitals modernize legacy systems, improve data quality, and streamline compliance reporting.

We are seeking a Clinical Registry Data Migration Specialist to support the conversion of legacy registry data into the NQS platform. You will work with structured healthcare datasets, assist with mapping and field standardization, and ensure transformed outputs match national, state, and registry-specific requirements.

Position Summary

The Clinical Registry Data Migration Specialist supports the extraction, mapping, cleaning, transformation, and validation of clinical registry data coming from a wide range of legacy platforms. You will follow established migration workflows, build field/value mappings, prepare datasets for API ingestion, and verify the accuracy of migrated records.

This role requires strong data handling skills, familiarity with clinical registry concepts, and the ability to interpret structured data formats (CSV, Excel, JSON, XML). Experience with TraumaBase, Collector, NTRACS, ImageTrend, or similar registry systems is a plus.

Key Responsibilities

Data Intake & Preparation

  • Receive and prepare DBF, CSV, Excel, pipe-delimited, and legacy export files for processing.
  • Validate structural completeness, field presence, and data integrity before transformation.
  • Organize datasets for mapping, lookup creation, and ETL workflows.

Field Mapping & Data Transformation

  • Translate legacy fields into standardized NQS schemas across Trauma, Burn, Surgery, and related registries.
  • Assist with constructing mapping tables, picklists, and crosswalks.
  • Normalize values using established rules including date/time logic, MV/SV handling, and categorical value alignment.
  • Maintain lookup files with strict adherence to formatting requirements (strings, zeros, codes, timestamps).

ETL Execution & Processing

  • Run internal ETL scripts and tools to process client datasets.
  • Identify and correct formatting issues, missing values, or malformed fields.
  • Generate JSON/XML payloads for upload and validate them against NQS schemas.

Quality Control & Validation

  • Compare source vs. converted datasets to ensure accuracy and completeness.
  • Validate transformed fields against expected picklists, formats, and clinical logic.
  • Document discrepancies and participate in remediation cycles.
  • Support iterative refinement of mappings based on client feedback.

Client & Internal Collaboration

  • Participate in discovery meetings with registry staff to understand legacy workflows and field usage.
  • Document decisions, anomalies, and special-case logic in migration artifacts.
  • Communicate progress, blockers, and validation findings to the Manager of Clinical Registry Data Integrations & Migrations.

Qualifications

Required

  • Bachelor’s degree in Computer Science, Information Technology, or a related field.
  • Experience working with structured datasets: CSV, Excel, JSON, XML.
  • Ability to follow detailed transformation rules and data-mapping logic.
  • Strong attention to detail when working with clinical or coded data.
  • Familiarity with trauma, burn, or surgical registry concepts (fields, picklists, workflows).
  • Comfort with repetitive data cleaning, normalization, and validation tasks.
  • Strong communication skills and the ability to document findings clearly and interact with clients.
  • Experience with XSLT and/or Python

Preferred

  • Experience with TraumaBase, V5 Collector, ImageTrend, NTRACS, or equivalent registry systems.
  • Exposure to NTDS, TQIP, ITDX, state/regional registry requirements, or Burn/QCDR standards.
  • Basic SQL or Python for data manipulation (not required but helpful).
  • Experience with API-driven workflows or schema validation.
