Position Summary
The Chief of Staff serves as the key partner to the Executive Director, providing high-level strategic support and ensuring efficient day-to-day operations of the office. This role monitors internal coordination, facilitates communication across departments, and represents the Executive Director in a variety of internal and external settings. The Chief of Staff plays a central role in organizational planning, process management, and the successful execution of major events and initiatives.
Key Responsibilities
- Support the Executive Director by monitoring daily office operations, including internal workflows and external communications.
- Represent the Executive Director in meetings and through email and phone correspondence with internal and external stakeholders.
- Draft letters, reports, emails, presentations, and other correspondence on behalf of the Executive Director.
- Conduct or attend meetings to assess and advise on upcoming activities, monitor progress, and identify opportunities for improvement.
- Attend the Annual Conference, Colloquium, and other major events to ensure all logistics are properly coordinated and executed.
- Follow up with NMA leadership, staff, and external partners to ensure timely and effective responses to organizational needs and member service expectations.
- Support cross-departmental initiatives and ensure alignment with organizational goals and priorities.
- Some travel and the ability to work the occasional weekend may be required.
- Assist with special projects and perform other duties as assigned.

Qualifications
- Bachelor’s degree required; advanced degree preferred.
- Minimum of 7–10 years of experience in management and supervisory experience in day-to-day operations. Nonprofit, association, and executive-level project management experience preferred.
- Strong written and verbal communication skills.
- Demonstrated ability to manage multiple priorities in a fast-paced environment.
- Proven experience in large convention, event coordination, and project management.
- High level of professionalism, discretion, and judgment.
- proficiency in MS Word, Excel, and Internet applications;

Pay: $65,000.00 - $82,000.00 per year
