Order & Quote Management
- Enter quotes and sales orders accurately while reviewing for missing or incomplete details
- Confirm lead times, pricing, delivery requirements, and product availability
- Acknowledge incoming RFQs and route them to the appropriate sales contacts
- Maintain and update quote logs and open order trackers
- Confirm purchase orders with manufacturers
- Follow up to obtain ship dates, tracking details, and call-ahead requirements
- Notify outside sales of shipment issues, backorders, or delivery delays
- Provide clear, timely communication to internal teams, vendors, and customers
- Support outside sales with accurate updates and proactive problem resolution
- Assist with administrative and documentation tasks across daily operations
- Assist with onboarding tasks such as collecting new-hire paperwork and setting up employee files
- Help maintain employee records and support compliance with company policies
- Coordinate training schedules, vacation, PTO, company events, and employee communications
- Support timekeeping processes by gathering and verifying information (no confidential decision-making or approvals)
- Assist with basic A/R and A/P tasks such as invoice matching, data entry, and payment tracking, possible collections
- Reconcile order details, delivery confirmations, and vendor invoices
- Ensure accurate financial documentation, filing of tax certificates and credit applications
Education
- High School Diploma or GED required
- Associate’s Degree preferred (Business, Supply Chain, Communications, or related field)
- 1–3 years in order management, customer service, sales support, or administrative roles
- Experience in construction materials, telecom/utility supply, distribution, or manufacturing is a plus
- Familiarity with quotes, purchase orders, and fulfillment processes preferred
- Strong attention to detail and organizational skills
- Excellent verbal and written communication
- Ability to manage multiple tasks and deadlines
- Proficiency in Microsoft Office (Excel, Outlook, Word)
- Experience with ERP or order entry systems is a plus
