POSITION SUMMARY
The Benefits Generalist is responsible for administering and supporting the organization’s employee benefits and leave programs while ensuring operational efficiency, regulatory compliance, and a high-quality employee experience. This role serves as a key partner in benefits administration, employee leave coordination, vendor management, employee communication, and process improvement initiatives. The Benefits Generalist works closely with employees, managers, Payroll, HR Business Partners, and external vendors to ensure benefit programs are administered accurately, employee questions are resolved timely, and organizational compliance obligations are maintained. This role also supports audits, Open Enrollment, reporting, invoice reconciliation, and benefits-related process standardization initiatives.
KEY RESPONSIBILITIES
- Benefits Administration Support
- Administer employee benefits programs including medical, dental, vision, life insurance, disability, FSA/HSA, retirement, and voluntary benefits.
- Manage benefit enrollments, qualifying life events, status changes, and terminations.
- Serve as primary point of contact for employee benefits questions and issue resolution.
- Coordinate and oversee Open Enrollment planning, employee communication, education, and processing activities.
- Monitor benefit eligibility and ensure timely processing of employee transactions.
- Leave Administration & Employee Support
- Coordinate employee leave communication and documentation related to FMLA, CFRA, ADA, pregnancy disability leave, and related leave programs.
- Ensure employees receive timely notices, updates, and benefit continuation information during leave events.
- Support interactive process coordination and employee accommodation documentation tracking as appropriate.
- Partner with HR and leadership teams to ensure consistent employee support and communication practices.
- Vendor & Invoice Management
- Manage vendor relationships and coordinate issue resolution related to eligibility, billing, claims, and enrollment discrepancies.
- Review and reconcile benefit invoices to ensure accuracy and timely processing.
- Coordinate carrier file audits and support annual vendor renewals and implementation activities.
- Compliance & Reporting
- Ensure compliance with applicable federal, state, and local regulations including ERISA, COBRA, HIPAA, ACA, FMLA, and California leave laws.
- Maintain accurate benefit records, reporting, and documentation.
- Support audits, reporting requests, and preparation of compliance-related materials.
- Partner with Payroll and HR teams to ensure benefit deductions and employee records remain accurate and aligned.
- Process Improvement & Team Partnership
- Identify opportunities to improve efficiency, employee experience, communication, and benefits administration workflows.
- Develop and maintain benefits procedures, reference materials, and employee education resources.
- Support strategic HR and Benefits initiatives as assigned.
- Assist with implementation and optimization of HRIS and benefits administration processes.
SKILLS & QUALIFICATIONS
- Required
- 4–6 years of progressive experience in Benefits Administration, HR Operations, or Leave Administration.
- Strong understanding of employee benefits and California leave regulations.
- Experience managing employee benefits communication and vendor coordination.
- Strong analytical, organizational, and problem-solving skills.
- Ability to manage sensitive and confidential information appropriately.
- Strong written and verbal communication skills.
- Experience with HRIS systems and benefits platforms (Paycom preferred).
- Preferred
- CEBS, SHRM-CP, PHR, or related certification preferred.
- Experience in nonprofit, affordable housing, healthcare, or multi-site organizations preferred.
- Experience supporting large employee populations and multi-state operations preferred.
EDUCATION & EXPERIENCE
- Bachelor’s degree in Human Resources, Business Administration, or related field preferred. Equivalent experience may be considered.
PHYSICAL REQUIREMENTS & WORK ENVIRONMENT
- Regular, punctual attendance required.
- Ability to sit, stand, walk, and use office technology for extended periods.
