safety, organization, and customer satisfaction. We are looking for a dedicated Site

Administrator to help streamline operations on the job site and support the team with

essential administrative and logistical tasks.

Job Overview:

The Site Administrator is responsible for maintaining site operations and ensuring all administrative tasks on the construction site are completed efficiently. This includes managing daily logs, handling deliveries, assisting with meetings, and maintaining the cleanliness and organization of the site and office trailers

Key Responsibilities:

  • Complete Daily Logs: Accurately record daily activities, incidents, and progress to ensure proper documentation of all site activities.
  • Photography: Take daily/weekly photos, especially during significant events or milestones, to track the progress and document key moments of the project.
  • NDA Management: Ensure all visitors, subcontractors, and employees arriving on site have read and signed non-disclosure agreements (NDAs). Keep all NDAs organized and filed properly for future reference.
  • Meeting Agendas: Assemble and print meeting agendas for recurring meetings, such as Design and Production meetings, using Procore. Ensure meeting documents are ready and organized before meetings.
  • Site Reviews: Assist with site reviews by coordinating with the Design Team and/or Clients. This includes printing necessary materials, preparing meeting agendas, and arranging onsite meals for the group.
  • Office Trailer Management: Stock office trailers with necessary items such as cleaning supplies, printer toner, paper, and other office supplies. Ensure trailers are adequately equipped for daily operations
  • Conference Trailer Cleanliness: Maintain cleanliness in the conference trailer by disposing of old or leftover meeting agendas, sweeping as needed, and assisting with waste bins and recycling.
  • Document Disposal: Bring outdated prints and documents from the job site to the annex for proper shredding. All obsolete documents must be shredded for security and compliance purposes.
  • Receiving and Directing Deliveries: Receive deliveries when they arrive on site and direct them to the appropriate areas. Ensure that materials are logged and organized upon arrival.
  • Shipping Assistance: Occasionally assist with shipping tasks for the site, ensuring materials and documents are sent to the correct destinations.
  • Traffic Control: Assist in directing vehicles as they arrive on site, ensuring smooth traffic flow and safety on the job site.

Qualifications:

Experience: At least 2 years of experience in construction administration or a related field, preferably in a site-based role.

Skills:

  • Strong organizational skills and attention to detail.
  • Ability to handle multiple tasks and prioritize effectively.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook) and Procore.
  • Excellent communication skills, both verbal and written.
  • Basic understanding of construction processes and terminology.

Education: High school diploma or equivalent is required; a degree or

certification in construction management, business administration, or a related

field is a plus.

Certifications: OSHA certification or other safety-related credentials are a plus.
