Description of Role
The Office Coordinator is responsible for assisting the agents and brokers in processing transaction paperwork, maintaining transaction files, posting content to social media and property listing accounts, answering phones, greeting guests, coordinating office meetings and events, and other various tasks as needed. The office coordinator works from the front desk and welcomes customers, clients, and team members coming to the office. Our ideal candidate will be self-motivated, trustworthy, organized, detail-oriented, and have great interpersonal skills. The office coordinator works with all team members, and allocates projects under the direction of the managing broker.

Key Responsibilities include

· Maintaining all transaction files and assisting with agent licensing paperwork, renewals, new agent onboarding, systems training, etc.

· Answer and direct phone calls in a polite, professional, and competent manner.

· Open office, maintain reception area, and welcome all guests in a professional manner.

· Help ensure smooth operation of key office equipment, including copy machines, conference room computers, phones, etc.

· Receive deliveries and pick up/drop off mail.

· Take inventory of supplies (paper, postage, water, etc.) and restock as needed.

· Assist agents and brokers in completing and processing all listing and transaction paperwork.

· Maintain Various Databases, coordinate installation of signs, photography, and graphic design.

· Maintain the company sales comparable database.

· Schedule, prepare, and follow-up on commission invoices.

· Schedule, manage, and coordinate all office meetings, events, and catering.

· Schedule and set up zoom calls, meetings and prepare agendas.

· Generate PDF Fillable Documents and distribute them to Databases.

· Receive commission and earnest money deposits for the company and coordinate with accounting team.

· Be or be willing to become a Notary Public and notarize documents for brokers, agents and 3rd parties as needed.

· Maintain Company Calendar.

· Fill out listing, lease, and sale contracts for real estate agents to review.

Salary:
Depends on Experience

$50,000 to $58,000 per year plus benefits

Office Hours of 9:00 AM to 5:00 PM Monday to Friday

Location: San Antonio, TX

Experience

Two years’ experience in an administrative support role

Real estate support experience preferred, but not required

Job Type: Full-time

Pay: $45,000.00 - $55,000.00 per year
