Nature and Scope
The Office Clerk – Accounting & Human Resources works under the direction of the Hope Poʻokumu and Poʻokumu to perform a wide range of financial and human resource support functions. This includes assisting with payroll processing, personnel files, benefits coordination, purchasing, and accounts payable/receivable documentation.
This is not a supervisory role but requires consistent communication with staff, vendors, and external agencies to ensure accurate recordkeeping, fiscal integrity, and HR compliance.
Essential Duties and Responsibilities
Accounting and Fiscal Support
- Assist in maintaining accurate financial records, ledgers, and reports in compliance with state and federal requirements
- Process purchase orders, invoices, reimbursements, and payment requests for approval
- Support monthly and year-end reconciliations and financial reporting
- Maintain documentation for procurement, contracts, and expenditures in accordance with school and State of Hawaiʻi procurement guidelines
- Assist with grant reporting, including documentation of expenses and payroll allocations
- Support the development and monitoring of school budgets and department spending
- Communicate with vendors, auditors, and fiscal officers to ensure proper recordkeeping
Human Resources Support
- Maintain accurate and confidential employee personnel files in compliance with state and federal employment laws
- Assist with onboarding and orientation for new hires, including background checks and employment eligibility verification
- Process payroll forms, timesheets, and leave requests in collaboration with Hope Poʻokumu, Poʻokumu, and external payroll services
- Track employee certifications, training requirements, and professional development participation
- Assist with benefits enrollment, updates, and coordination with state agencies and unions (HGEA, HSTA, UPW)
- Support compliance with labor laws, workers' compensation, and mandated reporting requirements
- Prepare and distribute HR-related correspondence, memos, and notices
Office Operations & Administrative Support
- Provide general office support, including answering phones, filing, and responding to inquiries
- Maintain confidentiality and professionalism in all communications and document handling
- Support administrative projects, reporting deadlines, and audit preparation as assigned
- Assist with maintaining organized office systems, digital records, and correspondence
Records and Data Management
- Input, verify, and maintain data in financial and HR software systems (e.g., QuickBooks, Infinite Campus, or DOE systems)
- Ensure the integrity and accuracy of employee, financial, and procurement records
- Support annual reporting requirements for the Charter School Commission and state agencies
Required Participation in School Culture
- Participate in daily protocols, hoʻokupu, huakaʻi, hōʻike, Lā ʻOhana, and all Hawaiian culture-based school activities
- Attend and contribute to weekly hālāwai, professional development sessions, and school events
- Support school community events with hospitality, documentation, or logistical coordination as needed
Minimum QualificationsEducation
- High School Diploma or GED required
- Associate's Degree in Accounting, Business Administration, or Human Resources (preferred)
Experience
- Minimum 2 years in an accounting, payroll, or HR support role
- Experience with accounts payable/receivable and employee record management
- Experience in a school, government, or nonprofit setting preferred
- Familiarity with Hawaiʻi Department of Education or Charter School systems (preferred)
Licensure & Skills
- Valid Hawaiʻi Driver's License
- Proficiency in Microsoft Office Suite, Google Workspace, and financial management software (e.g., QuickBooks)
- Familiarity with Infinite Campus, DOE systems, and HR platforms (preferred)
- Excellent written and verbal communication skills
- Strong attention to detail, organization, and confidentiality

Work Hours and Compensation
- Core hours: Monday–Friday, 7:00 AM – 4:00 PM, with flexibility as needed for school operations
- Compensation based on experience and qualifications in accordance with applicable HGEA Bargaining Unit agreements
- This is a year-to-year position, contingent upon funding and student enrollment
Pay: $36, $39,000.00 per year
