Key Responsibilities
Administrative & Sales Operations Support
- Provide high-level administrative support to Sales Operations, Operations, and company leadership
- Assist sales representatives with quote preparation, order documentation, CRM updates, pricing maintenance, and follow-ups
- Prepare, review, and organize business documentation, including quotes, invoices, customer onboarding forms, and standard operating procedures (SOPs)
- Maintain accurate and well-organized electronic and shared files in accordance with internal processes and documentation standards
Customer, Vendor & Order Coordination
- Coordinate with vendors regarding pricing, sample requests, documentation, and order status inquiries
- Monitor and track order lifecycle activity, including deliveries, backorders, and proof of delivery (PODs)
- Support communication across customer service and sales teams regarding order updates, documentation, and issue resolution
- Assist with rebate tracking, credit processing, and vendor compliance documentation as required
Purchasing & Procurement Support
- Support purchase order creation, revisions, and documentation in alignment with internal procedures
- Coordinate with vendors on pricing, lead times, product availability, and alternative solutions when necessary
- Track open purchase orders and proactively follow up on confirmations, delays, and backorders
- Assist with inbound inventory coordination and receiving documentation
- Maintain accurate purchasing records, vendor pricing files, and product documentation
- Support vendor onboarding, compliance documentation, and contract file management
- Communicate purchasing updates to Sales Operations, warehouse, and sales teams as appropriate
Office Administration
- Maintain vendor records, pricing files, and compliance documentation
- Order and manage office and operational supply inventory as needed
Process & Team Support
- Assist with cross-functional coordination and special projects across departments
- Support internal communications and meeting preparation
- Identify and recommend opportunities to improve administrative efficiency, process consistency, and documentation accuracy
Qualifications & Skills
- High school diploma or equivalent required; additional education or certifications preferred
- 2 years of administrative experience (distribution, sales support, or operations environments preferred)
- Strong proficiency in Microsoft Office Suite (Excel, Outlook, Word)
- Experience with ERP and CRM systems (training provided as needed)
- Exceptional organizational skills with strong attention to detail and follow-through
- Clear, professional written and verbal communication skills
- Ability to manage multiple priorities and deadlines in a fast-paced environment
